Overview and Responsibilities:

Saint Mary's University is looking to hire a Front Desk Receptionist. This is a position with responsibilities rotating between the front desk of the Minneapolis campus and admission processing. Hours for the position are 8:00 am to 4:30 pm Monday through Friday.

Receptionist
  • Serve as the face of the university, providing friendly service.
  • Greet students and staff as they enter La Salle Hall.
  • Respond to visitor information requests.
  • Answer, respond, and/or transfer phone calls.
  • Monitor reception email and some admission email as assigned.
  • Deliver incoming mail to appropriate boxes in mailroom.
  • Manage packages, pick-up drawer, and lost and found drawers.
  • Use Google and Office Suite products to keep organized and for processing.
  • Maintain the reception area, keeping it clean and free of clutter.
  • Contact security and maintenance by radio for urgent matters.
Admissions Processing
  • Receive and scan documents, note receipt, and monitor application files.
  • Create new admission folders for processing.
  • Generate inquiry and acceptance packets for applicants and accepted students.
  • File and maintain physical transcripts.
  • Employ CRM System to move applications through review stages.
  • Monitor various reports to proactively correct data.

Special Activities
  • Assist and contribute to special admission projects.
  • Assist the Admission Coordinator and/or Manager of Admission Operations.
  • Perform other duties, as assigned.

  • Develops and maintains good working relationships and communications at all levels of the organization.
  • Observes safety guidelines and follows safety procedures established by the university.
  • Self-motivated with the ability to work effectively alone and within a team environment.
Qualifications:
  • Bachelor’s degree preferred.
  • Front desk experience preferred.
  • CRM experience preferred, Salesforce.
  • May consider other acceptable equivalent combinations of training and experience.
