Job Summary
Reporting to the Academic Affairs Administrative Coordinator, this position will be responsible for working as a team and representing Academic Affairs well when:
- Supporting the administrative team in the offices of the Senior Associate Vice President and Deans of Instruction with complex processes in the Faculty Agreement and College Plan and helping keep the many overlapping deadlines of the Academic Affairs division.
- Executing many administrative steps to various processes, communications, documentations, research on updates to policies for things like Faculty Leadership Elections, Faculty and Faculty Leadership Evaluations, and Program Review.
- Managing calendars, sending email communications, scheduling meetings, tracking information in spreadsheets, preparing forms for Dean use, coordinating between MCC college offices for data requests.
- Proofreading/editing complex documents for consistency and spelling/grammar.
- Other duties that may be assigned include providing reception coverage for the Southern/Dobson Deans of Instruction office on in-person days including greeting guests, scheduling appointments for the Deans, answering multiple phone lines, and answering email and chat correspondence. Possible purchasing tasks using Financial Management System (FMS) to create requisitions and purchase orders, or coordinating with ProCard owners to make purchases, and reconciling/tracking budgets.
Essential Functions
- A fully competent and productive practitioner and professional individual contributor performing work within the scope of general policies, procedures and objectives and regularly exercising independent judgment within accepted practices.
- Coordinates, monitors and troubleshoots assigned projects, programs, initiatives and keeps executive(s) and stakeholders up to date on progress ensuring deadlines and timelines are met
- Creates, proofreads, edits and/or verifies documents, reports, presentations, correspondence and related materials
- Develops and maintains filing and record-keeping systems according to established procedures
- Utilizes standard office software to create documents and edits, proofreads and corrects for grammar and language
- Ensures confidentiality of information and safeguards the security of information, data, materials and documents
- Compiles and enters data for charts, graphs, directories, databases, summaries, reports or correspondence
Minimum Qualifications
Bachelor’s degree in the related field and 1 year of administrative office support, secretarial, or related experience providing office coordination activities, preferably involving executive level staff
OR
Associate’s Degree from a regionally accredited institution and three years of administrative office support, secretarial, or related experience providing office coordination activities, preferably involving executive level staff.
OR
An equivalent combination of education and work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.
Desired Qualifications
- Experience working in an educational institution
- Experience with applications such as: Student Information Systems (SIS), Financial Management System (FMS), Human Capital Management (HCM), Canvas, Dropout Detective, or Dynamic Forms or equivalent
- Experience with software and web applications such as: Microsoft Office Applications (Word, Excel), Google Suite (Docs, Sheets, Drive, Calendar, G-mail, Chat, Meets), WebEx, Adobe Acrobat Pro DC, internet, and cloud storage
