This position is full-time, nonexempt, classified and covered under the Superior Court Employee Handbook. This is an employee-at-will position.

37.5 hours/week; overtime as needed

Under the direction of the Small Claims Division Magistrate, the Lead Scheduling Clerk is responsible for filing and scheduling new claims, responding to procedural questions and/or concerns of customers, and ensuring the department runs smoothly.

ESSENTIAL FUNCTIONS:

  • Responsible for scheduling all Small Claims hearings.
  • Responsible for processing Alias Claims, proceeding supplemental, and Contempt of Court forms.
  • Implements procedural changes within the department.
  • Monitors the volume of work for the Scheduling Clerk and ensures necessary tasks are completed.
  • Responsible for ensuring the department is running smoothly and filling in for sick and/or absent employees.
  • Prepares and reviews the daily judicial court calendar.
  • Responsible for answering the phones, giving directions, and responding to procedural questions from office visitors.
  • Responsible for handling customers’ complaints and concerns.
  • Prints and posts court calendars.
  • Responsible for typing orders and docket entries and pulling files for claims.
  • Performs all other duties as assigned, including overtime as required.

Minimum Requirements and Working Conditions

REQUIREMENTS:

  • High School Diploma or GED
  • Strong customer service skills
  • Ability to use Quest, Odyssey, protective order registry, and other court related software preferred
  • Strong organizational skills
  • Ability to work in the midst of frequent interruptions
  • Ability to maintain strict confidentiality
  • Ability to use scanner, copier, fax, multi-line telephone and other job related equipment
  • Strong computer skills with the ability to use Microsoft Office and other job related software

WORKING CONDITIONS:

The Lead Scheduling Clerk works in a standard office setting with frequent sitting and some lifting of up to twenty pounds, bending, pushing and/or pulling loads, reaching over head, kneeling, crawling, and attention to detail. Some typing, monitoring equipment, and exposure to noise are to be expected.
