The Assistant to the Executive Director will provide productivity-maximizing service for a re-emergent community-engaged research institute. The administrative assistant will need to provide high level support to manage a complex, dynamic calendar of external and internal-facing land-grant activities, research projects, meetings, in addition to current and potential academic-policy-community collaborations. Specifically, the administrative assistant will coordinate project management of the Executive Director’s research projects and logistics for Kirwan’s signature land-grant program, the Kirwan Forum. This support requires independent decision making and the ability to prioritize and triage the ED’s time both through the coordination of scheduling priorities and the preparation/collation/coordination of materials to brief the ED in advance of meetings and specifically prior to significant engagements with key stakeholders. This position also requires awareness of university policies and procedures across different aspects of university operations.

This position will involve interactions at all levels of the institute, the university, and the public, so excellent interpersonal, organizational, and communications skills are a must. The administrative assistant will serve as primary contact for the ED, including tracking stewardship opportunities for key Kirwan stakeholders and providing logistical coordination for multiple research projects as identified by the ED. Some evening work to attend community meetings may be required. No weekend work is expected.

Required Qualifications:

  • High school diploma or GED
  • 2 years of relevant experience
  • Considerable business experience in an executive administrative capacity
  • Strong written and verbal communication skills
  • Knowledge of Microsoft Office Programs (Word, Excel, PowerPoint, etc.)
  • Knowledge of Workday platform
  • Ability to learn new software
  • Excellent interpersonal and oral communication skills to communicate effectively and professionally in person, in writing and on the telephone

Desired Qualifications:

  • Bachelor’s degree in a relevant field
  • Experience in a research lab, institute or department
  • Knowledge of University Policies and Procedures including Ohio Ethics Code
  • Experience working with a wide range of academics, policy makers, non-profit and community leaders
