This role will coordinate and manage scheduling, prepare and organize important materials and plans, and support board and all company meetings in the preparation of materials and planning for the CEO. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.

Candidates must be based in the Orange County, CA area with the ability to commute to the Orange County region or elsewhere to be in person with our CEO once a month on average. *The compensation range for this role is $81,000 - $95,000 commensurate with experience.
As the Executive Assistant to the CEO at Big Health, you will:

  • Manage professional and personal scheduling for CEO and other Executive Leadership members as needed, including agendas, mail, email, phone calls, client management, and other company logistics
  • Coordinate complex scheduling and calendar management
  • Manage executives’ travel logistics and activities, including accommodations, transportation, and meals
  • Organize and plan events, both internal and off-site
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Provide expense report support and prepare weekly, monthly or quarterly reports as needed
  • Provide administrative and office support as needed
  • Maintain professionalism and strict confidentiality with all materials
  • Other related duties as assigned

In order to be successful in this role, you will have (minimum requirements):

  • Minimum of 2 years prior experience as an Executive Assistant, or Personal Assistant
  • At least 1 year supporting C-Level at 200+ FTE company or Director/Above at 1000+ FTE Company
  • Experience working in a high-growth stage tech company of 100+ FTEs and scaling
  • Demonstrates impeccable attention to detail and ability to prioritize and bring order to chaos and navigate uncertainty with speed
  • Able to negotiate complex dynamics with sensitivity and discretion, effectively manage intricate projects and partnerships, and serve as a representative of both the CEO and the company as a whole
  • Ability to build and maintain relationships across all levels and functions in the organization
  • Ability to view the bigger picture to help anticipate needs and identify priorities
  • Able to set up systems and processes that optimize teams and processes in service of a unified goal
  • Demonstrate strong communication skills that reduces ambiguity and ability to adapt your style to match the context and meet the unique needs of your audience
  • Ability to travel to be in person with CEO once a month on average, potentially more
