Overview:
Looking to support youth's mental health needs by providing administrative support to our programs who do so? Join our Sonoma County programs as a Program Assistant! Our community-based programs are close-knit and enjoy team building events!

The Program Assistant is responsible for a variety of administrative tasks such as answering phone calls, scheduling meetings, maintaining records, and other special projects assigned by the Program Director or Assistant Director.

Responsibilities:
  • Answer multiple phone lines, transfer calls, and recording messages.
  • Photocopy, fax, email, and otherwise distribute incoming and outcoming mail, messages, or memos.
  • Maintain multiple program purchase order requests and petty cash.
  • Maintain program SharePoint, documents, brochures, and informational pamphlets as required for the program.
  • Assist in reporting including maintaining excel spreadsheet tracking reports, sending reports to county or community partners, and other reporting as requested.
  • Maintain program site donation inventory and other necessary supplies for staff, youth, family needs.
  • Update and maintain program documents and manuals such as the Sonoma New Staff Training Manual.
  • Assist in scheduling meetings, events, or site wide trainings.
  • Serve as program Site Safety Officer and collaborate with centralized facility team to ensure site compliance.
  • Record and distribute meeting minutes for various internal staff meetings.
Qualifications:
REQUIRED
  • Education/Experience requirements:
    • Bachelor’s degree OR
    • Associate degree or equivalent and 1 year of applicable work experience OR
    • High school diploma/GED and 2 years of applicable work experience
    • Applicable work experience includes any administrative position (paid or unpaid) requiring frequent data entry, the ability to prioritize multiple projects within strict deadlines, and coordination with multiple departments
  • Excellent communication skills.
  • Excellent organizational and computer skills.
  • Ability to work as a member of multi-disciplinary team.
  • Valid California Driver’s License and insurability by Seneca's automobile insurance carrier.
  • Fulfillment of TB test, fingerprinting and state clearance, and any other mandatory state and federal.
  • Proof of Covid-19 vaccination and booster.
Preferred
  • Bilingual (English/Spanish).
Schedule:
  • Full-time
    • Monday-Friday
    • 9am-5pm
    • 5 weeks of paid time off, 11 paid holidays
Benefits:
  • Starting at $22.00 per hour. Actual salary is dependent on creditable experience above the minimum qualifications for the role.
  • Additional compensation provided upon passing bilingual language proficiency exam.
