Position Summary

The Orthodontic Patient Coordinator provides support to patients and parents in all administrative aspects of the orthodontic process.

It is the mission of all Orthodontic Patient Coordinators to provide exceptional customer service, while fostering lasting relationships with our families. We strive to be proactive, detailed and efficient in our work. Patient Coordinators work as a team to support and work with all departments to promote and achieve the best customer experience possible.

Essential Functions

· Answer phone calls and messages. Distributes call to the appropriate person

· Accurately schedule orthodontic appointments within the Dolphin system and in coordination with Ascend

· Routinely updates patient/parent information

· Print/email all signed correspondents

· Collect and post payments

· Complete specific financial reports as needed

· Other duties and tasks as assigned

· Deposit reconciliation and reporting

· Recall reports

· Scan documents into software

Minimum Requirements

· High School Diploma

· Previous office experience

· Knowledge of the basics of the Dolphin system

· Strong understanding of accounting principles and understanding of general delinquency systems

· Excellent computer skills to includes Microsoft Excel, Word and accounting software

· Strong customer service skills and commitment to patient/parent satisfaction

· Excellent oral and written communication skills with the ability to communicate with and educate parents

· Ability to maintain patient confidentiality and be familiar with HIPAA laws and regulations
