Paragon Autism Services is an award-winning ABA therapy provider seeking a dependable, detail-oriented individual that has office management and supervisory experience in a professional office environment. Our Office Manager will complete a wide range of administrative and oversight duties for the agency to facilitate the effective operation of the company. The Office Manager will oversee administrative duties at one of our Fredericksburg area locations.
Candidate must possess the following skills:
- Strong leadership skills – ability to hold others accountable, set deadlines and follow up
- Strong written and verbal communication skills
- Strong clerical skills – including filing, sorting, maintaining, and auditing client files, photocopying, faxing, etc.
- Strong computer skills - including Gmail, google documents (sheets & calendars) and Microsoft Office Word and Excel
- Excellent organization skills – detail oriented
- Able to work independently and interact with all levels of management – pro-active problem solver
- Ability to multi-task in a fast paced environment
- Strong basic math skills of addition, subtraction, division, and multiplication
Job duties include but not limited to:
- Work steady hours from 9-5, Monday-Friday. This position requires work be completed in the office; no remote work is available for this position.
- Answer office phones and ensure that messages are relayed to appropriate staff member
- Check and sort office mail
- Ensure cleanliness of office
- Ensure that the assigned office has all needed materials and supplies on hand
- Manage scheduling for all staff and clients at assigned office
- Create, maintain, and audit paper client files
- Ensure all physical client files are up to date with required paperwork and completed documents
- Sort and file client documents, progress notes and reports
- Maintain electronic spreadsheets, document trackers and calendars
- Communicate with staff regarding missing documents and ensure they are submitted in a timely manner
- Process and copy all client social security and audit paperwork requests
- File staff supervision forms
- Assemble annual paper packets
- Perform clerical duties – filing, scanning, faxing, photocopying and shredding
- Enforce agency policies and procedures
- Serve as the main point of contact for clients
- Work collaboratively with a team
Minimum Requirements for Office Manager:
- Minimum of associates degree preferred, but not required
- 2+ years of recent office administrative experience
- Able to lift 25 lbs.
- Have a reliable vehicle and possess a valid driver’s license
- Must pass all background investigations which include State and FBI criminal backgrounds checks and CPS check
Job Type: Full-time
Pay: $50,000.00 per year
