The Office Manager is responsible for planning, coordinating, and directing the activities of across functional departments ensuring all non-clinical staff is well trained, knowledgeable, and responsive to a fast pace and growing environment. The Office Manager provides regular progress updates to practice managers and participates in the development and delivery of departmental implementations and understands/manages staffing needs, tools, and training requirements.
Essential Functions:

  • Observes, evaluates and supervises non-clinical department operations as assigned.
  • Ensures productivity and quality goals are established and communicated to all employees.
  • Ensures daily productivity goals are achieved and tracks progress.
  • Understands issues, barriers, performance gaps and creates action plans to improve results.
  • Works across functions to solve issues and improve results.
  • Manages the day-to-day activities of various non-clinical departments through excellence in customer service.
  • Provides superior patient service demonstrating responsiveness and sensitivity to patient needs with urgency to resolve any patient dissatisfaction in accordance with practice values, policies and procedures, government regulations and standards.
  • Completes performance appraisals and counseling for all assigned personnel.
  • Performs other duties as assigned.
Qualifications:
  • Bachelor’s degree or equivalent work experience in Healthcare management
  • Minimum 2 years of Healthcare experience.
  • Strong leadership skills and ability to perform a wide range of duties.
  • Excellent computer skills, proficient in excel, word, and outlook.
  • Excellent people management skills, interpersonal skills, and communication skills.
  • Able to train and delegate.
  • Ability to exercise good judgement, prioritize multiple task and problem solve under pressure of deadlines.
  • Ability to generate, read, manage, analyze and interpret complex documents.
  • Ability to define problems, collect data, establish facts and draw valid conclusions.
  • Ability to effectively present information in one on one and small group situations to physicians and office staff. Ability to thrive in a rapidly changing business environment.
  • Ability to interact effectively with staff and outside contacts on a variety of levels.
  • Ability to learn new skills quickly and adapt in a changing environment.
  • Ability to manage stressful situations in a calm, courteous and efficient manner.
  • Ability to test and evaluate functions in different programs like ECW.
  • Ability to work independently.
  • Ability to perform under extreme pressures of deadlines and tight work schedules.
  • Attention to detail and quality of work.
  • Excellent oral and written skills technical and non-technical.
  • Proficiency with software applications: Windows, Excel, Word.
  • Quick learner / good at researching, reading, digging for answers.
  • Excellent customer service skills.
