Responsible for the plant’s switchboard operation, front desk, and mailroom. Greets visitors. Supports the Human Resources Department by assisting in and completing the clerical and administrative functions of the department.
- Operates the switchboard, routes calls and answers general inquiries.
- Greets all visitors and processes their requests. Assist job applicants with completing employment applications.
- Monitors and operates shipping gate entry. Reports any issues to the Safety Manager.
- Handles sorting and distribution of mail/faxes, meters the mail and keeps front office supplies in stock. Keeps front office clean and organized.
- Assist with Customer Tours
- Tracks attendance and issues Occurrence Report warning slips on a weekly basis for poor attendance and follows-up with management for signature receipt. Enters attendance data into HRIS software and spreadsheet. Notifies HR Manager of any urgent issues.
- Performs Verification of Employment for all hourly employees as requested, including wage verification for loans, mortgages, etc.
- Responsible for the completion and submission of hourly employee unemployment claim forms, wage verifications (mortgages, etc.).
- Assists HR department with job postings, both internal and external.
- Works with HR in scheduling interviews, reserving conference rooms, etc. Routes internal job posting applications to appropriate supervisor for review and follows up for decision.
- Assists HR Generalist with the completion of new hire paperwork, drug tests and badges. Helps to maintain stock of employee HR forms and the creation of new hire packets and benefit folders.
- Enters data into HRIS software for wage increases, status changes, disciplinary actions, new hires, etc. Routinely files employee paperwork/forms in corresponding employee folder.
- Responsible for the organization and upkeep of the I-9 documents/files.
- Completes all filing for employee files.
- Completes HR administrative projects and performs other duties as assigned.

- Must be PC/Internet proficient and experienced with Word, Excel (spreadsheets and charts/graphs), PowerPoint and HRIS systems.
- Excellent interpersonal and problem-solving skills with a pleasant, professional demeanor both face-to-face and on the phone.
- Must be able to handle multiple priorities and interruptions, maintain confidentiality,
be extremely dependable and have excellent attendance. - Must have excellent verbal and written communication skills and be able to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.
- Mathematical skills include the ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
- Apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
- This position requires the employee to be capable of working independently and be self-motivated/directed.
Education and Experience:
- High school diploma or general education degree (GED); Associates Degree is preferred.
- One to two years related experience and/or training; or equivalent combination of education and experience.
- Bilingual and able to read, write and speak Spanish proficiently is preferred.
