Position Overview:
Verra Mobility is looking for Facilities Administrator to perform numerous administrative supports with the Facilities Manager and for the Business Unit. He/She will have a broad scope of responsibilities including working with location site contacts to coordinate and schedule vendor or equipment repairs, ensuring the facilities day-to-day maintenance and repair of buildings, grounds, and associated equipment are maintained. Additional responsibilities will be working with the safety vendor for all site locations and to maintain safety standards, create and maintain a safe work environment, and ensure open issues are handled in an appropriate and timely fashion (i.e., OSHA Training, on-site incidents, Employee Safety Training, Hazmat Training). This position requires exercising strong judgment, discretion and maintaining confidential information.
Essential Responsibilities:
- Manage vendors and payments with accounts payable.
- Schedule and arrange vendors for on-site locations. Including working with locations on safety related issues.
- Assist with project management of site moves or build outs for locations. This will require partnering with other departments to coordinate the moves, calendars and provide details to the proper parties for the move.
- Track facilities service requirements or requests and ensuring all requests are completed within established deadlines and quality standards.
- Managing spaces inside buildings, such as meeting room space.
- Ensure that all safety procedures are followed, and that safety equipment is always available and in good condition.
- Establish positive working relationships with internal leaders, employees, and external contacts. Partner with executive to build an inspired workplace.
- Communicate professionally in writing and verbally across all levels of the company and with external partners / customers / service providers.
- Prepare Expense reporting (Concur)
- Assist with Travel Related Issues/Arrangements
- Other duties as assigned
- Intermediate level knowledge of Microsoft Office including Outlook, Excel, Word, and PowerPoint. Experience with Concur travel management system.
- Proficient with printers, scanners and other office tools and technologies.
- Must be flexible and adaptable
- Experience of working in a fast paced and evolving environment
- Attention to detail and ability to multi-task high volume of incoming requests
- Must be very organized and have a can-do attitude
- Must be able to work under pressure with a smile
- Must be responsible, reliable, and able to work independently
