The Warrants Unit is staffed 24 hours a day, 7 days a week. This unit consists of 3 different shifts: Day Shift (5:00 a.m. to 1:30 p.m.), Swing Shift: (1:00 p.m. to 9:30 p.m.) and Grave Shift (9:00 p.m. to 5:30 a.m.). Days off will vary for each position. This recruitment may be used to fill multiple positions over the next three (3) months.
Please Note: CRT positions in this unit are not eligible to telework.

The Department of Corrections (DOC) is seeking highly motivated and qualified individuals for full-time permanent Correctional Records Technician positions and full-time non-permanent Correctional Records Technician positions with our Warrants Unit. These positions are located at Department of Corrections Headquarters in Tumwater, Washington.

The Warrants Unit/this position contributes to the agency mission by processing all warrant records for offenders who are on escape, or abscond status, from confinement, or within the community. The Correctional Records Technician is responsible for the accurate input, review, and removal of all warrant records to assist law enforcement partners and DOC field staff in the apprehension of offenders on warrant status.
The Warrants Unit operates under strict timelines for warrant entry and validation of records that are in alignment Washington State Patrol and DOC policy/procedures. The Warrants Unit is a 24/7 unit comprised of 3 shifts- day shift, swing shift and graveyard. Staff must be on duty to answer phones at all times; this makes all positions critical to ensuring the vital functions of public safety and warrant operations continue uninterrupted. All staff within the unit are designated as COOP (Continuity of Operations Plans), with a mandatory minimum of 2 staff required to be on shift at all times. Overtime may be awarded/may be mandatory to ensure there is sufficient staff coverage. CRT positions in this unit are not eligible to telework.
Key responsibilities of a Correctional Records Technician include, but are not limited to:
Maintain the security, control and accuracy of all warrant records to include:- Receive input, process and remove warrants and other information into and from WACIC/NCIC and local computer system in support of Community Correction's Officers (CCO) caseloads.
- Cancel, modify and supplement warrant records to ensure complete and accurate information is recorded.
- Utilize and maintain databases and programs containing information relative to offender's conviction, sentence and violation history.
- Enter information into the Department's electronic offender database.
- Maintain confidentiality of information as protected by agency policy, state laws, or federal laws.
- Assist law enforcement agencies and CCO's with interpretation, validation and issuance of warrants which include:
- Provide detailed interpretation of warrants to law enforcement and CCOs.
- Confirm validity of Department warrants for CCOs.
- Issue arrest and detain orders on offenders at the request of law enforcement and CCOs.
- Issue authorization teletypes, locally and nationwide, to holding facilities to detain offenders.
- Independently make technical decisions on immediate, critical issues to law enforcement personnel to include, but not limited to, validity of warrant, extradition limits, need for inclusion of duty officer, detaining offenders involved in situations that pose a threat to the community.
- Coordinate extradition processes by collaborating with Transportation and Law Enforcement to return offenders from other jurisdictions nationwide.
- Explain the policy, procedures and standards concerning Washington State escape warrants and extraditions to internal and external stakeholders
- Maintain and monitor warrant case files in compliance with WACIC/NCIC mandatory audits
- Scan documents into the Department's electronic data system
- Work together as a team contributing to a shared workload while exhibiting strong verbal and written communications skills with co-workers, supervisor/management, and our customers/stakeholders.
Required Qualifications:
- High School diploma or equivalent.
- One (1) year of experience maintaining or processing records including but not limited to: medical/dental records, legal records, property records, administrative records, clerical records, etc.
- Note: For the purpose of this position, maintaining and processing records is defined as the entry/input, review, removal, upkeep, electronic retention, and hard copy retention of records in a professional setting.
- One (1) year of experience in customer service.
- Must respect and maintain confidentiality.
- Demonstrated ability to:
- Effectively communicate with co-workers, the public, and criminal justice agencies.
- Analyze and solve problems under highly stressful or adverse situations.
- Multitask effectively.
- One (1) year experience maintaining or processing offender records such as legal files, property files, grievance files, administrative files, medical files, parole files, or counselor or custody files in a governmental law enforcement office, court setting, or an adult or juvenile correctional agency.
- Note: Offender records are defined as records containing certified copies of the original documents, relating to the offender's crime and sentence. Offender records are not property files, grievance files, administrative files, treatment files, slough files, parole files, counselor files or custody files.
- College-level course work in criminal justice, business administration, accounting, social science, or a related field.
- Knowledge of criminal history document processing.
- One (1) year of experience providing customer service working in a 911 dispatch or other type of call center environment.
- One (1) year of experience working within the Offender Management Network Information (OMNI) program.
- Intermediate level proficiency in Microsoft Office programs to include: Outlook, Word, Excel, and SharePoint.
- Washington State Patrol ACCESS certified.
