The Commercial Lines Administrative Associate provides administrative support and back up to the Commercial Lines Department, Producers, ReSource Pro, along with other departments of the agency in the servicing of commercial accounts to maintain an efficient, cohesive and effective infrastructure developed by the agency.

Job Functions

  • Sorting mail for the department
  • Scanning and filing into ImageRight and then disbursing to the appropriate individuals
  • Receive by mail/email to pull Notice of Cancellations and Notice of Reinstatements from multiple websites and send to the Account Manager and Producers
  • Assists in the development and production of renewal proposals and binders
  • ReSource Pro Gatekeeper
  • Monitors and tracks the logistics of all documents/policies that go in and out of TNGE processing folder
  • Prints out completed checklists to distribute to the assigned Account Manager
  • Files completed Loss Run Summaries from TNGE into ImageRight
  • Prepares documentations for the Account Manager / Assistant Account Manager, Clients and Carriers:
  • Updates MS Word and Sagitta regarding binder issuance
  • Monitors and verifies policies/checklists on an ongoing basis
  • Assists in the development and production of renewal book
  • Contacts carriers when required for information and coordination of Loss Run requests
  • Surplus Tax Filer
  • Receives notification from AM that agency is required to file surplus tax on policies/endorsements
  • Completes checklist for each tax filed and keeps logbook
  • Files taxes electronically
  • Files confirmation of tax filing into ImageRight
  • Performs computer data entry and file maintenance by refining and updating databases and other related information
  • Coordinates account activity with Producer, AM, and/or AAM as needed
  • Receives binder/loss runs requests by email/task assignment and handles to conclusion by communicating with carriers, entering into system, suspending for completion and following up to assure completion and compliance with requests and needs.
  • Receives and executes checklists on a timely basis
  • Receives and executes Loss Recommendations letter workflow to notify, follow up and file correspondences in ImageRight
  • Verifies information from multiple sources as to accuracy and confirms binder policy issuance – hard copy, secured email and/or flash drive
  • Maintain confidentiality of all information
  • Assists in monitoring needed departmental supplies
  • Participates in staff team meetings
  • Performs other work related duties as assigned

EDUCATION AND/OR EXPERIENCE: Must have a high school diploma or GED.
