Administrative Assistant/Receptionist
Job description
We're a specialized psychological group practice looking for a full-time/part-time (30 hours per week) office assistant that will be part of a dedicated group of employees. There is opportunity for growth to enter into a full-time office manager position should the opportunity arise. This person would be responsible for answering phones, determining a good fit between client and clinician, scheduling appointments and collecting payments, as well as performing typical office duties such as interacting with clients, light office work, and a variety of tasks that keep the office running smoothly. The position is 30 hours per week and is shared with another part-time office assistant. We need an individual seeking a long term position with proof of longevity at previous positions
Responsibilities
The main functions of this role are:
- Answer phones and interact with current and potential clients with compassion and decisiveness.
- Make decisions of how to schedule new clients with current clinicians
- Track and collect payments (we are a private pay business, and therefore some basic knowledge of mental health billing is needed and would be taught if needed)
- Provide coverage for the front desk and perform day-to-day office duties (i.e. answer phones, faxes, scanning, emails, schedule new intakes, etc.)
- Create operations and systems to manage the office as the needs change in the organization
Qualifications
- Previous mental health/medical office experience preferred with knowledge of email etiquette, faxing, phone skills, and interaction with clients.
- Mental health benefits verifications/ billing experience a plus.
- Must be organized, independent, focused, and have knowledge of Microsoft Office and Google Suites.
- Attentive to details with excellent initiation and follow-through.
- Ability to work independently while also working as a team with front desk staff, clinicians, and owner.
- Willingness to learn new tasks and seek help when needed.
- Excellent communication skills both in writing and person-to-person.
- Ability to think ahead and be pro-active in performing office duties
Compensation
$17-18 hourly with yearly raises and additional PTO based on merit, performance, and cost of living
