Administrative Assistant, Planning and Zoning
Job description
Under the direction of the Director of Planning and Zoning, the Administrative Assistant performs the following duties and responsibilities.
ESSENTIAL DUTIES & RESPONSIBLITIES:
- Coordinate and establish agendas for Building and Zoning Committee(B&Z), Planning Commission(PC), Shade Tree Advisory Commission(STAC) and Board of Historic and Architectural Review(BHAR)
- Take minutes at the aforementioned citizen and committee meetings.
- Coordinate and/or post agendas and minutes onto the Township website.
- Maintain the Planning and Zoning portion of the Township website with updates to content and forms.
- Set up and maintain electronic and hard copies of department files/folders specific to various applications and development projects that include Zoning Hearing Board, Subdivision and Land Development, Professional Services Agreements, Earth Disturbance Permit Applications and any other, including cataloging and indexing them.
- Zoning Hearing Board notifications and mailings for affected properties and applicants.
- Process and mail out zoning and use certifications and Deed Registrations
- Mailing of any Department correspondence, including violation notices, citations, Zoning Reviews among others.
- Processing and depositing fees for the department in coordination with the Finance Office.
- Assists with digital scanning, indexing, organizing and purging of documents in the P&Z Department.
- Interact with the public and provide general information.
- Files and retrieves departmental documents used for research of applications and right to know requests.
- Answers incoming telephone inquiries, trouble shoots and/or directs inquires or complaints.
- Oversee the department calendar and schedule meetings with developers and residents as needed.
- Perform all other related duties as assigned.
QUALIFICATIONS:
- High School Diploma or equivalent, business school degree preferred.
- Minimum of 3 years of solid job-related or equivalent experience
- Prior government experience highly preferred
- Knowledge of the use of general office equipment
- Knowledge of the preparation of budgets
- PC Literate. Proficient in MS WORD, EXCEL and E-MAIL
- Ability to organize, prioritize work assignments
- Ability to work independent of direct supervision
- Good interpersonal, oral and written skills
- Type minimum of 60 wpm
- Must be detailed, deadline oriented
- Ability to interact with residents and co-workers at all levels
- Respect for “confidentiality” involving all work-related activities
- Ability to carry-out instructions with minimum of supervision
- Ability to exercise sound judgement in evaluating situations and in making decisions
- Respect for “Teamwork”
- PA Drivers License
PHYSICAL DEMANDS:
- Work the full-time hours of the position: 8:00 a.m. to 4:30 p.m.; Monday-Friday
- Able to work night meetings, as required
