EDUCATION AND EXPERIENCE :
High School Diploma or Equivalent
One year related experience and/or training; or equivalent combination of education and experience

High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.
PRIMARY PURPOSE SUMMARY :
Maintain accurate attendance records for the campus. Performs data entry including attendance, Public Information Management System (PEIMS) data and grades. Validation of student attendance per state laws and District guidelines. Receive and direct incoming calls; assist parents with registration and withdrawals and visitor sign in using Raptor System; faxing, sorting and distribution of mail; preparation of expulsion packets; schedule teacher parent intake conferences; provide typing for counselor and assistant principal; filing SRC placements; backup data processor and check attendance.

ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:
1. Greets and directs public and signs in everyone using VTS Raptor System.
2. Verifies, compiles and posts middle school daily attendance.
3. Communicates with middle school parents concerning student attendance by phone and in person.
4. Administers middle school admission slips to students who have been absent.
5. Solicits middle school assignments from teachers for students absent and makes them available for parents to pickup.
6. Requests computer run and verifies the principal's six weeks report.
7. Prepares records for audit purposes.
8. Processes incoming phone calls from parents regarding student attendance.
9. Processes middle school student notes regarding absence from school.
10. Verifies identification of middle school adults taking students from school early.
11. Refers middle school students to appropriate administrator as needed.
12. Maintains middle school student files containing attendance related documentation, e.g. notes, etc.
13. Enters into computer middle school students who have signed up for Saturday School.
14. Maintains manual record of student entries, exits and grade level changes on a daily basis.
15. Refers teachers to appropriate administrator as needed for failure to post to TTAD.
16. Maintains currency and compliance with all state laws and District policies and regulations concerning job functions.
17. Maintains inventory of forms and supplies.
18. Reports all middle school attendance problems to designated administrator.
19. Attends all required workshops.
20. Registers and withdraws students and assists parents checking in and out of school.
21. Receives and directs incoming calls, takes reliable messages and routes to staff.
22. Issues absentee and tardy slips to students.
23. Receives, sorts, distributes mail, messages, documents and other deliveries.
24. Assists with preparation of materials for mailing, preparing labels and stuffing envelopes.
25. Provides typing services for assistant principal and counselor.
26. Schedules intake conferences with teachers and parents for new students.
27. Assists with the receipt and distribution of student materials.
28. Places students in SRC classes for middle school.
29. Prepares expulsion packets on students for Department of Pupil Personnel Services.
30. Maintains attendance records.
31. Notifies faculty and acquires signatures for employee absentee listings.
32. Assists middle school staff/faculty as needed.
33. Maintains confidentiality of information.
34. Reports to work on time every day.
35. Performs additional duties and accepts other responsibilities as may be assigned.

QUALIFICATION REQUIREMENTS:
  • Successful completion of applicable skills testing through the Department of Human Resources
  • Proficient file maintenance, 10-key and keyboarding skills
  • Average proficiency in the use of a computer and knowledge and ability to use and/or learn to use Internet, Spreadsheet and Word Processing Software
  • Excellent organizational skills
  • Necessary interpersonal skills to positively interact with a variety of people with different personalities
  • Ability to use personal computer and software to develop spreadsheets and databases for word processing
  • Ability to meet established deadlines
