New employees to the State will be paid biweekly. There are 26 biweekly pay periods in a year.

About the Work Unit
The Colorado Department of Transportation's (CDOT) Center of Accounting work unit ensures all financial-related transactions are recorded in compliance with Generally Accepted Accounting Principles (GAAP), GASB and FASB standards, and all State and Federal rules and regulations. The Accounts Payable (AP) section of the Center of Accounting is responsible for ensuring all transactions related to the payments/payables are in compliance with all areas mentioned above and are made timely and accurately. The AP section is responsible for CDOT’s timely warrant processing, EFT processing, Energy Cap data, commercial card administration, vendor maintenance, and CDOT’s IRS reporting.
About the Position
CDOT has a vacancy for a Vendor Accounts Database Technician in our Metro Denver location. In this position, you would manage and maintain CDOT’s vendor accounts master database and act as CDOT’s Headquarters’ Commercial Card Accounting Coordinator.
Your duties and responsibilities will include, but are not limited to, the following:
- Maintain, verify, and update the SAP vendor master data file for accuracy and ensure that the vendor master data records are set up to ensure the accuracy of vendor payment information for IRS information reporting.
- Perform precise and expert review of submitted documents and follow up with CDOT staff and vendors to obtain any specific information that is required.
- Enter vendor information accurately into SAP, CDOT’s financial system, to ensure accurate 1099 reporting.
- Periodically review the master vendor file, W-9s, and ACH authorization forms kept on file to ensure that the information kept is accurate and updated.
- Perform TIN matching of vendor W-9s on the IRS website and review and independently verify the authenticity and accuracy of vendor bank account information.
- Review the year-end 1099 files and correct any discrepancies, such as IRS TIN, income category, and vendor classification.
- Respond to requests for examining and remediating vendor master data record issues.
- Review and follow up on changed vendor reports.
- Stay apprised of the potential for fraudulent activity with regard to vendor management.
- Administer, reconcile, update, and analyze CDOT credit card systems and processes related to Ghost and Individual P-cards.
- Monitor daily interfaces associated with CDOT’s Commercial Card Program. Research errors and correct.
- Apply expert knowledge of accounting and State travel rules to the card system’s day-to-day processes to ensure compliance.
- Act as the mediator and liaison between the Commercial Card vendor, the State Purchasing Office, travel agency vendors, CDOT Business Office state, CDOT Region Commercial Card Coordinators, and CDOT’s Commercial Card Program Administrator.
- Provide backup support for other accounting functions within CDOT.

- Working with computer software and applications (e.g., MS Excel, SAP, Google Applications).
- Using software to track a large volume of data, such as documents, equipment, financial, or other.
- Applying rules and procedures for the entry, quality assurance, analysis, resolution of issues, and reporting and manipulating data.
- Providing on-going customer service in person, on the phone, and/or via email to internal and external customers.
OR
- An associate's degree from an accredited college or university in accounting, auditing, business administration, business intelligence, communications, data management, finance, mathematics, or a closely related degree will substitute for up to two years of the required experience.
- AND at least two (2) years of full-time work experience where the primary job duties include all of the following:
- Working with computer software and applications (e.g., MS Excel, SAP, Google Applications).
- Using software to track a large volume of data, such as documents, equipment, financial, or other.
- Applying rules and procedures for the entry, quality assurance, analysis, resolution of issues, and reporting and manipulating data.
- Providing on-going customer service in person, on the phone, and/or via email to internal and external customers.
- A copy of your official or unofficial transcript showing that your degree is conferred must be submitted with your application materials.
- A bachelor's or graduate degree from an accredited college or university in accounting, auditing, business administration, business intelligence, communications, data management, finance, mathematics, or a closely related degree will substitute for the required experience on a year-for-year basis.
