Warranty Administrator Job Summary
The primary function of the Warranty Administrator is to oversee warranty claims made by and to the Company, this will include several other of the KWS branches.
Warranty Administrator Duties and Responsibilities
1. Maintains working relationship with all manufacturers and/or distributors of warranted trucks, parts and services:
- Maintains working understanding of all warranty policies and procedures of such vendors.
- Communicates with vendors on a regular and as-needed basis to discuss all warranty claims and procedures.
- Maintains necessary warranty certification requirements as required by manufacturers and/or distributors.
3. Maintains friendly working relationship with customers and company employees, providing assistance/information/instruction as necessary to expedite warranty claims and preserve good relationships. Keeps customers advised of the status of warranty claims in a consistent and timely manner. Troubleshoots warranty problems/questions for customers and/or company employees in courteous manner.
4. Collects all required warranty documentation from customer and/or company employees and submits with completed claims forms to respective manufactures within 10 days of completion of work by the Company.
5. Verifies collection of all parts related to warranty claim, making sure parts have been tagged by the mechanics prior to processing Work Order and submitting warranty claims. Prepares all associated paperwork for part returns when requested by the vendors.
6. Tracks warranty claims after submittal, maintaining the aging of such claims within established standards. Receives and posts all warranty payments. Coordinates with Credit Manager on such receipts, including customer co-payments and/or payments to be credited in future. Issues credits as necessary to customers on warranty payments received. Authorizes issuance of on-the-spot warranty credit within limits as set by manufacturers, distributors, and/or the Company.
7. Processes warranty work orders, adjusts mechanics billed hours according to warranty labor guideline times.
8. May include some travel to other branches, Paccar and vendors as needed.
Warranty Administrator Qualifications
Ability to read and comprehend instructions and information. High school diploma or the equivalent. Some knowledge of heavy truck automotive parts, including engines. Two years experience in general office position. Ability to use computer systems, ten-key calculator, microfiche and read vendor catalogs. Excellent organization and communication skills. Working knowledge of accounting principles preferred.
WORKING CONDITIONS
This position involves both sedentary and other work. For part of the shift, s/he will work at a desk in an office setting, doing paperwork, filing and key entry on a Video Display Terminal. Part of the shift s/he will climb stairs, climb in and out of vehicles, stand, stoop, kneel, crouch and reach, moving about the Dealership to communicate with managers, employees and customers. Will be exposed to noise, dust, exhaust fumes and a variety of other hazardous and non-hazardous materials. Must be able to lift 35 pounds unassisted on a regular basis.
