Summary of Role
The Transportation Management Services (TMS) Coordinator performs transactional work such as day to day problem solving and tracking as well as transportation execution within the Transportation Management Services Department. This position will also have responsibility to track, report and initiate carrier compliance to our carrier contracts and operating procedures. This position performs daily over, short and damaged (OS&D) information collection and disposition for the product and carrier. Works closely with internal departments and carriers to provide solutions to delivery or receiving issues. Collects and reports out critical information regarding the product custody chain from shipper, carrier and receiver. Completes claim process for any issues deemed to be the fault of the carrier. Maintains carrier files for compliance to both the COOP and regulatory agency requirements. The TMS Coordinator works closely with TMS Load Planners to meet the goals of the department.

Essential Duties and Responsibilities

• Communicate to and assist carriers via BluJay load notes, email, or phone call
• Handle daily reported over/shorts/damages (OS&D) from carriers.
• Collect information and report out through Incident Data Base.
• Work with Customer Experience and Quality Assurance Departments to provide disposition of product for carrier if needed.
• Complete process for rejected loads; collect data from carrier and shipper along with Customer Service to provide additional information from receiving dock. Provide this data for review by TMS Management and Quality Assurance Department in a timely manner.
• Provide recovery options and solutions for late and detained trucks.
• Work with Load Planner for solutions in OS&D and delays.
• Provide support to Load Planners when and where needed.
• Maintain carrier files; Paper Files, OVIS, Insurance Certificates, Etc.
• Update consignee, shipper and carrier information; contacts, hours, etc.
• Communicate to carriers of warehouse off schedule and communication letters.
• Participate in meetings and projects as needed.

Additional Duties and Responsibilities

• Investigate and respond to inquiries of shipments with OS&D issues
• Assist with fax distribution, filing and data entry.
• Assist other departmental personnel to complete transactions, appointments, confirmations and communications in a timely fashion.

Knowledge, Skills, and Abilities

• 2-3 years’ experience of the transportation sector or business to business environment preferred.
• Good PC skills, in such programs as Excel, Word, Access and TMS systems
• Preferred experience in logistics software. ie Lean/BluJay TMS or similar, ERP, Red Prairie WMS
• Ability to multi-task and work in a fast paced environment
• Excellent professional communication and phone skills
• Excellent professional customer service skills
• Ability to work under limited supervision
• Ability to handle confidential information with discretion
• Strong attention to detail and accuracy
