Situated on the outskirts of South Carolina, Savannah River National Laboratory (SRNL) is located approximately 20 minutes from Augusta, Georgia (home of the annual Master’s Tournament) and 30 minutes from Fort Gordon (home of the new US Army Cyber Command). The complex is one-hour away from Columbia, South Carolina and within a three-hour radius of Charleston, South Carolina, and many of the coastal beaches. Aiken is known for its famous thoroughbred horses, southern hospitality, growing community, thriving school district, numerous parks and golf courses, great weather, spacious avenues, and historical large and impressive homes.

Savannah River National Laboratory is seeking an Administrative Assistant to join a dynamic Business Services organization at the Savannah River National Laboratory.

In this role, the Administrative Assistant will provide support to the Chief Financial Officer (CFO) and Business Services organization. The successful candidate will be responsible for effective management of an executive office while performing a full range of administrative functions in support of the CFO.

MAJOR DUTIES/RESPONSIBILITIES INCLUDE:
  • Provide analytical and specialized administrative support to relieve and assist CFO of administrative details and duties; ensure delegation and prioritization.
  • Handle incoming correspondence (telephone, fax, email, etc.) in a responsive and courteous manner. Initiate calls to obtain, verify, and exchange information. Disseminate information as appropriate and/or refer to others.
  • Track completion of action items, deliverables, and other tasks assigned to staff. Advise supervisor and staff of items needing attention.
  • Liaise with cross functional teams within the company and external parties to ensure efficient workflow.
  • Plan and coordinate meetings, workshops, conferences, etc.; schedule personnel, facilities, and related services and assist in communication with attendees, coordinating activities, transportation, lodging, and meeting agendas as required.
  • Establish and maintain effective working relationships with internal and external contacts (including DOE/NNSA, DOE contractors, Battelle, other Labs, universities, etc.).
  • Showcase utmost discretion and maintain confidentiality, both internally and externally, with a strong commitment to the implementation and perpetuation of values and ethics.
  • Maintain and control business-sensitive and confidential files.
  • Identify gaps in communication and issues that need to be escalated.
  • Stay abreast of new office-related tools and technologies.
  • Ensure reports and correspondence, including those prepared by subordinate offices, are in accordance with established BSRA/SRNL guidelines. Advise on office procedures and preparation and handling of correspondence.
  • Attend meetings as appropriate, document and track action items, disseminate meeting notes, and assist in implementation.
  • Schedule, update, and maintain CFO’s calendar of appointments and meetings.
  • Prepare and process forms.
  • Maintain proficiency in wide range of SRNL business systems, processes, and policies.
  • Prepare travel documentation including requests, reservations, and expense settlements.
  • Prepare PowerPoint presentation materials with the use of graphics, animation, links, etc. Create and maintain spreadsheets and charts as required.
  • Work on multiple tasks in a limited amount of time in a fast-paced environment. Set priorities as appropriate to accomplish multiple tasks.
  • Create purchase requisitions based on appropriate SRNL guidelines.
  • Assist with special projects, ad hoc requests, and assignments as needed.

Basic Education Qualifications

High school diploma with minimum of 10 years of administrative experience in prior responsible administrative assistant positions to higher level management.

  • High level of expertise in office management and administration.
  • Critical thinking and communication skills.
  • Ability to develop and manage professional relationships with team members and customers.
  • Establish priorities and complete tasks/projects with limited guidance.
Other Required Qualifications

  • Proof of complete COVID-19 vaccination or approved exemption authorization will be required for employment at SRNL.
  • Must be able to obtain and maintain a DOE security clearance.
Preferred Qualifications

Associate or Bachelor's degree.

  • Professional administrative assistance certifications.
  • Experience at DOE/NNSA facility.
  • Experience with SRNL systems.
