Armstrong Teasdale LLP is seeking a Special Events Manager to join its Growth department. The Special Events Manager supports Armstrong Teasdale’s strategic goals of Firm Profile and Firm Growth through the planning and execution of all in-person and virtual marketing and client relationship events across all U.S offices in the firm. The duties and responsibilities of the firm’s Special Events Manager center on planning, budgeting, and executing client-facing events of varying sizes and purposes.

1. Lead event planning and execution meetings with internal and external event stakeholders regarding event goals to ensure key decisions are made and responsibilities relating to the event are assigned and executed on time and within budget.

2. Provide “end-to-end” management for all events and projects to include event process, facility/venue selection, making arrangements for firmwide audio/visual, food/beverage, entertainment, and coordination of on-site event support (when necessary), registration/greeting process, including name tags, signage and giveaways. Plan for potential scenarios that could impact the integrity of any given event.

3. Support research and selection of contracts/agreements with all venues and suppliers. Manage relationships with vendors to secure discounts and maintain excellent service standards.

4. Develop and manage event budgets. Ensure timely payment of all invoices. Ensure all events remain within or under budget.

5. Create invitations, handouts and presentation materials in coordination with the firm’s Marketing teams; assist with the Continuing Legal Education (CLE) accreditation process in coordination with the firm’s Talent Development team when applicable.

6. Coordinate with the firm’s Marketing team to ensure events are adequately highlighted/promoted across firm channels.

7. Schedule post-event debriefs with event stakeholders to determine if goals were met, document outcomes for future planning and report monthly on planned and executed events.

8. Provide post-event feedback by following up with attendees and non-attendees. Notify appropriate relationship managers of attendance with specific action items to include follow up drip campaign in coordination with Marketing team. Review and analyze evaluations from the website and social traffic generated from events as well as vendor performance.

9. Maintain master event calendar and keep detailed records of all events within the firm’s CRM system

10. Maintains a working knowledge of the complex needs of a wide variety of events and geographic locations.

Required Education: High school diploma or equivalent

Preferred Education: Bachelor’s Degree

Required Licenses and/or Certifications: N/A

Required Experience: 3+ years event planning, business development or marketing experience

Preferred Experience: 5-7 years of experience in law firm event planning, business development or marketing

Supervisory Responsibilities:N/A

Physical Activity: The employee will be required to sit for prolonged periods and work on a computer; some physical lifting and bending; employee should be able to lift a minimum of five pounds

Travel Required: 10%
