Opportunity

The Senior Administrative Assistant position will provide support to the Vice President – HR Kitchen and Bath Group for Kohler’s largest, global business unit as well as providing general support for the HR team in a fast paced environment. This key individual will manage multiple deliverables, commitments, and correspondence in support of the HR function’s needs.

Specific Responsibilities

  • Organize and coordinate large and small meetings, including agenda coordination.
  • Assist in crafting and deploying team member communications and engage in follow-up activities to ensure deadlines are met.
  • Assist the Vice President – Human Resources and Senior Director – Human Resources with calendar management, travel planning, and coordination.
  • Schedule meetings with internal associates as well as external partners and candidate interviews. Resolve scheduling conflicts quickly and prioritize issues to ensure an effective time management approach for the office. Handle meeting logistics including room set-up, materials, technology, etc.
  • Compile and distribute meeting agendas and pre-materials to ensure efficient use of meeting time.
  • Take effective meeting notes and route to appropriate team members.
  • Collaborate across the team of executive assistants to effectively coordinate and confirm global meetings; communicate schedule changes.
  • Manage all travel needs including the coordination of frequent and detailed domestic and global travel arrangements including air, hotel, and car. Facilitate trip itineraries.
  • Create engaging presentations using Microsoft PowerPoint and other programs.
  • Develop, prepare, generate and analyze ongoing and ad-hoc HR reports.
  • Assist team members with process and workflow documentation.
  • Gather and format organization charts in Visio.
  • Develop, maintain and update the HR project planning / capacity planner.
  • Assist with HR process and program management in the K&B Group office.
  • Assist with collection of associate information and HR reporting.
  • Receive, screen, and route incoming calls, mail, email, publications and correspondence and assist with correspondence including drafting memos and emails as required.
  • Manage the financial processes for the office including expense management, budgets, and reporting. Create purchase orders and submit invoices.
  • Manage the K&B Group office including technology, printers, office supplies, conference room, hotel offices, and kitchenette supplies.
  • Manage K&B HR and K&B Group executive onboarding and offboarding processes.
  • Proactively identify additional opportunities to provide support and improve overall department efficiency.
  • Perform special projects to support department and company goals.

Skills/Requirements

  • High school diploma and 10+ years of administrative experience. Associate's or Bachelor’s degree preferred.
  • Exceptional communication skills – interpersonal, verbal and written.
  • Exceptional and proven customer service, along with a high degree of professionalism/confidentiality required.
  • Ability to thrive in a fast-paced environment, with frequent changes in schedules and priorities. Flexible and resilient.
  • Exceptional PC skills required, including a high level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and Visio.
  • Exceptional organization, planning, calendar management, and project coordination skills.
  • Strong team player with exceptional collaboration and problem-solving skills with the ability to adapt to different situations while working positively with a variety of team members.
