POSITION SUMMARY:
These positions provide clerical/secretarial support to agency clinical and medical staff through performing a variety of tasks including, but not limited to, front desk and telephone reception, fee collection and posting, preparation of typed materials, electronic client file maintenance, and appointment scheduling.
QUALIFICATIONS:
Combination of training and experience demonstrating ability to perform essential job functions. Must possess a valid Driver’s License, good driving record and the ability to provide your own transportation.
ADDITIONAL REQUIREMENTS:
- Must be able to complete physical requirements of the job;
- Prolonged periods sitting at a desk and working on a computer; and
- Must be able to lift up to 25 pounds at times.
ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES:
The incumbent should possess general knowledge of office procedures, accounts receivable procedures, third-party billing, electronic medical records, and basic filing systems. This position requires computer, telephone, and customer services skills. The incumbent should possess knowledge of Microsoft Office programs and Credible preferred.
The incumbent should demonstrate the ability to work closely with and communicate effectively with clients and professionals both in person and over the telephone; to prepare documents and reports in final form; to effectively maintain files; to exhibit good attention to detail and detect errors in financial and written material; to provide excellent customer service to both our clients and staff members; and, to maintain confidentiality.
MAJOR DUTIES AND RESPONSIBILITIES:
- Receives and routes incoming telephone calls, transferring to voice mail, taking messages when necessary and providing general information
- Electronic scheduling of client appointments in Credible
- Telephone and/or front desk reception of clients and visitors
- Updates client’s insurance and financial information in Credible
- Enters client demographic data into Credible
- Maintenance of daily schedules for program site’s clinical and medical staff and makes appointment reminder calls when needed
- Verifies insurance and Medicaid resources of clients
- Collects and processes co-pays and financial assistance payments from clients at time of service
- Completes Credible reports as needed
- Prepares in final form various letters, memoranda, and reports
- Scans client information and maintains client records using the EMR system
- Conducts financial interviews to determine client fee rate and third-party resources and obtains insurance authorizations
- Prepares bank deposits
- Uses a variety of office equipment such as ESI telephone system, computers, scanners, printers, photocopiers, fax machines, and adding machines
- Must be willing to cross-train and fill-in at other clinic locations as needed.
- Performs other duties as assigned by the supervisor which are consistent with the position and in compliance with the agency policies and procedures.
