As a Scheduling Specialist on the Client Experience Team, you will be the face of Thrive Wellness, assisting clients through the client journey. You will be responsible for multiple tasks including but not limited to:

Guiding potential clients and their families through the process of beginning an outpatient or HLOC journey at Thrive, you will answer calls, provide scheduling and rescheduling services for providers, create client profiles in both KIPU and TheraNest ensure that all information and paperwork is completed, maintain the waitlist and internal referral requests, proved screeners and warm handoff to admissions team as indicated, etc.

The right candidate will be a courageously optimistic, skilled communicator with the interpersonal skills to interact with clients/patients, their families, therapists, physicians, and other key representatives. This position is in-person, and client-facing and will be required to adhere to Core Values and company policies and procedures.

Qualifications:

  • Associates or bachelor's degree preferred
  • Psychology, social work, or related mental health experience is a plus
  • Conversion (sales) minded with an ability to work with a sense of urgency
  • Ability to manage and process, contain crises and work within a system with many moving parts
  • Excellent communication skills.
  • Good understanding of medical/mental health benefits coverage, including deductible and out-of-pocket maximums.
  • Working knowledge of medical/mental health terminology
  • Proficient in spelling, grammar, and multitasking.
  • Strong computer (i.e., Google Suite Applications) skills, insurance web portals.
  • Demonstrates competency and sensitivity in multicultural, racial, religious/spiritual, gender, gender identity, gender expression, and sexual orientation issues.

Requirements:

  • Must pass a federal background check at hire and every three years.
  • Must adhere to the drug-free workplace act.
  • Demonstrate maturity of judgment, attitude, and life skills.
  • Must demonstrate an ability to adapt to change and remain flexible.
  • Must be a strong team player that works well in a busy environment.
  • Must have strong communication skills and be upbeat, positive, and professional when interacting with clients, providers, and co-workers.
  • Must have excellent interpersonal, verbal, and written communication skills and the ability to prioritize and manage your time unsupervised & independently effectively.

Duties:

  • Responsible for answering phones to schedule, reschedule, and canceling appointments.
  • Returning voicemail messages and answering web inquiries are answered in a timely manner (within 4 business hours)
  • Collecting new clients' information and creating profiles and treatment opportunities in the CRM and EMR systems.
  • Schedule new clients with the most appropriate provider available at the time.
  • Obtain clients insurance information, ID, and collect payment method at first visit.
  • Verify client’s insurance information and fill out VOB form.
  • Relay proper office policy regarding financial responsibility to clients as well as no show/late cancel policies.
  • Administer intake screenings and schedule with the admissions team for higher level of care clients as well as warm handoff emails.
  • Maintain and manage the waitlist of clients if providers are full.
  • Maintain and manage the internal referral from list and communicate with providers where their clients landed.

Intake related - Act as back-up for the intake team which may include:

  • Responsible for intake & screening of all new PHP/IOP clients, including:
  • Assuring assessments and screening are completed prior to admission.
  • Schedule potential clients for ancillary testing if requested by the medical team.
  • Ensure prior records are received if requested.
  • Receiving medical and clinical clearance prior to scheduling admit date.
  • Assuring the Release of Information is completed by the client to contact others that will be included in treatment.
  • Communicating to treatment staff regarding pending admissions during weekly Treatment Team meetings or sooner if required.

Coverage for Front Desk Services:

  • From time to time we may need to ask you to tend to front desk needs (ie greeting people as they enter, taking the trash out in common areas each day, etc)
  • Ensure that faxes get to the proper departments
