This position plays an integral role in supporting the success of the firm by providing a variety of support services to our internal and external clients in a fast-paced, service-oriented environment. The ideal individual will have the ability to exercise good judgment and discretion in a variety of situations, with superb written and verbal communication skills, an excellent strategic thought process, and the ability to maintain a realistic balance among multiple priorities.
In this position, the role holder will have responsibility for supporting our Tax Professionals including the coordination of communications and pertinent data. Performs and/or oversees special projects or assignments that are sensitive and/or complex in nature, requiring a high level of independence and initiative in execution and implementation. Handles details and oversees work of a highly confidential and critical nature to support executive matters of significance. This position is expected to manage and reassess priorities of varied complexities, multiple functions and highly sensitive operations to address matters of varying degrees of urgency. Routine administrative activities include department scheduling, project coordination, business development coordination, department support and back-up support for Tax Partners, as needed.
Responsibilities
  • Manage ongoing department projects and updating of status to appropriate parties
  • Assess employee workload capacity within the department to create staff schedules and resolve any scheduling conflicts as they arise
  • Participate in ongoing meetings with Tax Partners and Managers for annual planning of department workload capacity with follow-up client work-in-progress scheduling meetings
  • Maintain the integrity of information in XCM, our workflow and scheduling software
  • Prepare and edit documents, reports and presentations utilizing Microsoft Office (Excel, Word, PowerPoint)
  • Maintain organized files and ensure information is easily accessible
Qualifications
  • High School Diploma/GED required, Bachelor's degree preferred
  • At least 1 year of experience supporting executives, preferably within the tax professional services environment
  • Advanced in XCM Scheduling software preferred
  • Advanced computer skills and knowledge of applicable tax technology applications, repositories, and databases
  • Intermediate level Microsoft Office (Excel, Word, PowerPoint)
  • Ability to work independently and manage multiple tasks, while remaining organized
  • A high level of confidentiality and discretion when working on projects is required
  • Excellent verbal and written communication skills
  • Flexible attitude and ability to deal well with changing assignments and priorities
  • Attention to detail and great organizational skills
  • Ability to work in a fast-paced environment
  • Ability to support Executives working remotely across multiple time zones and geographies
  • Strong analytical and prioritization skills
  • Must be able to work flexible schedule (as needed)
