Role Summary:

    • Check all incoming goods against delivery orders and invoices, food specifications and purchase records to ensure that the type, amount, price and quality of items charged and ordered are correct and maintain safe, sanitary and organized storage of all items
    • Issue, store, price and rotate all incoming goods for the hotel and maintain a good balance between par levels of inventory items and on hand quantities in accordance to business need
    • Ensure all local and corporate policies, rules, internal controls and procedures and safeguards are complied with as they relate to the Purchasing Department

Required Qualifications:
Require a working technical knowledge of Auberge Policies and Procedures as it relates to Purchasing, Store and Receiving, including Purchase Orders and Inventory procedures. Working knowledge is generally learned on the job or through a series of professional certifications
Require knowledge of and the ability to operate computer equipment
Highest level of integrity and transparency
Apply an ethical approach to the outcome of situations Strong interpersonal and relationship-building skills to work with cross-functional teams, vendors, contractors , vendors’ delivery person and freight forwarders Work in a safe, prudent and organized manner Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar as well as basic arithmetic Knowledge of basic computer systems and softwares including Word and Excel required .Driving license required. Lifting of 80lbs or more may be required . Ability to stand for 4 or more hours at a time . Proactive and high energy.

Storeroom Duties:
    • Issue, store, price and rotate all incoming goods for the hotel
    • Maintain proper labeling of all storeroom items with minimum and maximum levels, to facilitate re-ordering and rotation of stocks,
    • Fill all requisitions on a timely basis in accordance with storeroom hours and outlet requests, update respective inventory cards/system and rotate perishables in storerooms
    • Deliver packages and merchandise to designated personnel throughout the property
    • Ensure all goods received are stored in their proper and designated areas at all times
    • Ensure food items are marked with date of purchase when practical or if expiry date is on package when required
    • Ensure all food items are placed in the appropriate location and are not placed on the floor
    • Complete daily, weekly, month-end, quarterly or annual inventories for food, beverage, groceries, sundries and operating equipment as needed
    • Ensure all storerooms are locked when unattended, warehouses are properly tidying (e.g. sweeping, mopping, hub floor, breaking down cardboards and taking trash out…) and vehicles used in course of business maintained clean.
    • Receiving Duties:
    • Ensure that all non-food and beverage deliveries coincide with an approved purchase order. All deliveries without purchase orders must be investigated and mostly rejected
    • Ensure that all food and beverage deliveries are received in conjunction with the order forms
    • Maintain an up to date file of the receiving copy of all approved purchase orders. All purchase orders must clearly state the status of delivery (i.e. open or partial)
    • Inspect the physical condition, check quality and count or measure the quantity and weight of all items or supplies at the time they are received and before they are placed in storage
    • Inspect food quality at receiving. Anything questionable must be approved by the Executive Chef or his delegate or the Purchasing Supervisor
    • Ensure all deliveries are received at the designated receiving area only
    • Inform Accounts Payable and Supervisor in the event of any returns, shortages, or no show deliveries immediately
    • Conduct temperature recordings of vendor chiller trucks, chilled and frozen food
    • Check shelf life and expiry of food and beverage products and alert accordingly
    • Require a working technical knowledge of Auberge Policies and Procedures as it relates to Purchasing, Store and Receiving, including Purchase Orders and Inventory procedures. Working knowledge is generally learned on the job or through a series of professional certifications
OTHER:
    • Assist with regular cleaning and re-organization of storerooms
    • Assist the Accounts Payable Clerk in researching cost/deliveries/invoices discrepancies
    • Perform any additional duties as assigned by the Director of Finance/Assistant Director of Finance
