The Portfolio Manager is responsible for maintaining positive relationships with residents, owners, and internal team members to ensure smooth property operations. The PM will effectively initiate, manage, and coordinate involved parties to accomplish property objectives and goals as set forth by upper management and ownership. These objectives and goals include, but are not limited to effectively maximizing occupancy levels, profit levels, building reputation and property values.



Essential Responsibilities:

Owner & Tenant Relations:

  • Interact directly with property owners, upper management, internal team members and business partners to maximize client satisfaction
  • Ensure timely and accurate communications with clients, colleagues and stakeholders regarding all projects and transactions
  • Interface with residents and tenants to address concerns regarding the living and commercial environment
  • Review all lease and sublease packages for current and prospective tenants and owners
  • Work collaboratively with other departments (e.g. compliance, leasing, and accounting)
  • Create, manage and implement communications, policies and procedures for residents, departments and property employees as it relates to newly executed leases, lease renewals, subleases, lease terminations and preparation of vacant apartments
  • Perform all duties and functions as required and outlined in the Management Agreement between Rose Associates, Inc. and property owner(s) as well as the terms and conditions included in resident leases

Building Operations:

  • Ensure the timely maintenance of all building operations and systems, including the coordination of preventive maintenance work
  • Ensure that all properties exceed survey, audit, review, and inspection expectations
  • Identify and coordinate vendors for large building repairs, construction and capital improvements, and ensure the cost is compliant with the budget
  • Negotiate service contracts and ensure compliance and contractual obligations are met
  • Perform regular property inspections to identify maintenance
  • Must be available for after-hours emergencies, which encompasses coordination of resources, providing appropriate guidance and implementing corrective action
  • Ensure that all resident service requests are properly recorded, communicated and signed off appropriately by property maintenance personnel
  • Ensure that vacant apartments are inspected daily by on-site personnel and that maintenance issues are addressed immediately
  • Oversee ongoing construction for new buildings
  • Immediately report all liability and property incidents to upper management, complete and submit appropriate paperwork to necessary parties

Administrative & Financial Functions:

  • Participate in preparation of operating budgets and forecasts
  • Prepare Monthly Variance Reports, Utility Consumption Reports, and other reports as required
  • Analyze past income and expenditure patterns and make recommendations to upper management and ownership
  • Process invoices through AP system, including managing vendor payments, expenditures/records, orders and delivery logs, and review charges; identify and report discrepancies
  • Ensure that appropriate insurance requirements are in place

Supervisory Functions:

  • Provide direction and scheduling to Resident Managers, office, building and leasing staff. Ensure compliance with policies
  • Set goals and objectives for staff

Position may be required to perform duties outside their normal responsibilities as needed and when requested.


Qualifications and Competencies:
  • Bachelor’s degree in business, marketing, real estate, or finance or equivalent experience in residential property management.
  • 5+ years of real estate property management experience
  • Working technical knowledge of building operations and maintenance
  • Proficient in Microsoft Outlook, Word and Excel
  • NY Real Estate License or ability to obtain license within 90 days of employment
  • Revenue Management Program experience preferred
  • Budgeting and reporting experience required
  • Understanding of marketing trends

Anticipated compensation range for this position is $130,000 - $145,000 plus significant incentive compensation. Full benefits packages.
