Position Description

This position will help support the digital advancement across all of Operations services.
  • Reports directly to Senior Director of Finance and Operations.
  • Takes direction from other senior department directors.
  • Position is considered essential staff.
  • Works with Sr. Director of Finance and Operations on creating and maintaining an inventory of all Operations IT applications and all department hardware and specialty software.
  • Validating that software applications are current, patched, and managed in accordance with compliance requirements and best practices.
  • Developing processes for onboard and offboarding systems and work as part of the project team during system implementations.
  • Participates as a key member of a cross-functional team to analyze current business processes and technology.
  • Develops reports, visualizations, and assesses operational data to formulate recommendations for proactive and continuous improvement.
  • Serves as an internal consultant, works with internal and external clients to understand requirements, seeking opportunities to leverage and integrate existing technology solutions to improve service delivery, customer satisfaction, and outcomes.
  • Participates in strategic planning conversations with Operations stakeholders and IT.
  • Assists in the broad, high-level support of >100 separate systems for the department of operations. Including the implementation and support of ServiceNow and DocuSign.
  • Provides assistance and support to project managers on PMWeb, Operations construction project management software system.
  • Acts as a power user for PMWeb Application
  • Acts as a champion of HBS ShareSite and Office 365 capabilities for Operations.
  • Develops and maintains electronic information storage and collaboration approaches for all of Operations.
  • As an in-house expert, works with IT and Operations staff to provide communication, collaboration and document management solutions.
  • Assists with data analysis, reporting and visualization of various data sources within Operations.
  • Provides executive reporting on department key performance indicators.
  • As part of team, creates, audits, maintains and edits Operations intranet website and other communication vehicles.
  • Works with various Operations staff on site development.
  • Improves training and operational procedures to increase collaboration, self-service opportunities, technology utilization, acceptance, and optimization.
  • Leads the department’s efforts around Digital Transformation by researching, understanding, and communicating current trends in operational technology.
  • Uses the research to assists in the development of pilots and proof of concept exercises
  • As required and assigned, works on specific activities and projects to improve overall effectiveness of the Operations.
  • Provides general administrative assistance to Operations Managers and others as necessary.
  • Performs other duties and responsibilities as assigned.

Basic Qualifications

  • Minimum of two years’ post-secondary education or relevant work experience

Required Qualifications:
  • Bachelor's degree
  • In addition to the 2 years of experience required above, this role requires one year of additional direct, applicable, operational and technology-related experience
Additional Qualifications:
  • Strong computer skills (Microsoft Office 365 suite of applications), ServiceNow, and other related tools. Training may be available.
  • Experience with MS SharePoint, PowerBI and other presentation tools are strongly desired.
  • Must possess excellent decision making and organizational skills.
  • Demonstrated ability to communicate technical concepts to non-technical audiences and clearly translate operational requirements to technical teams.
  • Communicates well in verbal and written form is essential.
  • Self-motivated who can take initiative to resolve problem.
  • Must be able to meet deadlines in fast paced environment.
  • Attention to detail is a must.
  • Ability to work independently and as part of team.
  • Strong interpersonal skills.
  • Ability to work well and build relationships with other Harvard department employees and vendors.

Additional Information

This role is offered as a hybrid (some combination of onsite and remote) where you are required to be onsite at our Boston, MA based campus 3 days per week. Specific days and schedule will be determined between you and your manager.
