JOB DESCRIPTION
OFFICE PROFESSIONAL and FINANCIAL ASSISTANT

FIRST PRESBYTERIAN CHURCH (FPC) OF CAZENOVIA, NEW YORK

Purpose: To provide professional office services for The First Presbyterian Church of Cazenovia. Support the Pastor, Church leadership, the congregation and the community as they seek information and support from the Church. The Office Professional is usually the first contact the community has with the Church. Therefore, professionalism and a welcoming demeanor are essential.

Accountability: This position reports to the Pastor/Head of Staff.

Responsibilities:

1. General

  • Office hours are 9:00 am until 2:00 pm Monday-Friday. (5 hours per day 25 hours per week). Opportunities to work from home are extremely limited due to the public facing nature of this position,
  • Work collegially with the Pastor, Church Treasurer, Church Staff, Church leadership, and volunteers.
  • Participate in weekly staff meetings as an integral member of that team.
  • Plan, organize and supervise volunteer office personnel, when needed.
  • Assist the Pastor, Staff, and Committees with administrative duties.
  • Job related Continuing Education is funded and encouraged for this position.
  • Ensure that office equipment is in good working condition and that appropriate office supplies are on hand.

2. Administrative

  • Create and maintain computer files and programs to assist with business functions of the church. For example: Membership, mailings, personnel and reports.
  • Perform receptionist duties including answering telephones, distributing mail, and greeting visitors. Members and visitors are a priority.
  • Maintain an official church calendar of activities in order to avoid scheduling conflicts.

Assist the Pastor and Session in scheduling.

  • Maintain an up-to-date church directory and mailing lists.
  • Produce Sunday bulletins, special bulletins, annual reports, and correspondence.
  • Collect articles, design layouts (email and hardcopy), type, copy and distribute weekly and monthly newsletters.
  • Maintain the Church website, Facebook and other social media, updating regularly, including graphics generation and photography
  • Set up YouTube stream for broadcasting the service, including creating announcement slides and weekly graphics
  • Retain files for all committee meeting minutes
  • Assist with printing meeting materials, and printing official Session meeting minutes in official book.

3. Financial

  • Create and maintain computer files and programs to assist with financial functions of the church including but not limited to: Budgeting, stewardship, financial reports, trending reports and payroll.
  • Count, record, and deposit contributions to the Church…produce periodic reports from those records.
  • Carry out bookkeeping functions including disbursements for church expenses, maintain check register in Quickbooks online or similar program, reconcile monthly bank and credit card statements create monthly operating statement, and provide data to the Church

Treasurer.

  • Provide timely, accurate information to payroll service for each staff member biweekly using the Church’s payroll system.
  • Set up tax-exemptions with vendors

Evaluation: An annual evaluation will be conducted by the Pastor/Head of Staff with input from stakeholders.

Qualifications:

1. Education and experience with general office procedures and equipment that will promote the highest caliber of office professionalism.

2. Relational skills that permit working collegially with the Pastor/Head of Staff, the
Church Treasurer, fellow staff, committees and the congregation and community at large.

3. Computer skills in Microsoft Office and church specialty software.
4. Other duties as assigned by the Pastor/Head of Staff.

Proven ability to be a participatory member of a team

Experience with planning

Highly organized

Good written and oral communication skills

Comfort speaking in individual and group settings

Pay: $20.00 - $22.00 per hour
