JOB TITLE: Office Manager
HOURS: Regularly 24 hours/week. Potential exists for up to 30 hours during the busiest times of ministry.
Since 1960, CEF® has been reaching children with the Gospel of Jesus Christ in Jefferson County and beyond. The organization is currently seeking a part-time Ministry Coordinator to assist with organizing, and developing the ministry throughout Jefferson, Elk & Clearfield Counties by enlisting, training, equipping, and supporting leaders from across denominational lines. Reporting to the Local Director, this position will lead and manage club & outreach activity. CEF® has recently expanded its service area thus offering the successful candidate a unique opportunity for growth and exploration.
GENERAL QUALIFICATIONS:
- Is a born again, has assurance of salvation and is willing to give a testimony of his salvation before the Committee and others.
- Has a good testimony at home, on the job and in his neighborhood and local church as reflected by both speech and conduct.
- Is actively involved in a local church that is in agreement with the CEF Statement of Faith.
- Believes that children can be saved from sin by coming to a saving knowledge of Jesus Christ.
- Feels called to serve in this ministry.
- Is continually growing in spiritual walk: learning to trust the Lord for victory, wisdom and guidance.
- Is a team player that keeps goals in focus and functions well in a group.
- Possesses good written, verbal and public speaking skills.
- Exhibits proficiency in computer skills (basic working knowledge of Microsoft Office Suite including Word/Publisher/ Excel/Access is preferred).
- Specific training or coursework in computers or databases preferred.
- Is self-motivated, organized and able to motivate people.
- Possesses a teachable spirit that is eager to learn new skillsets and all facets of the ministry.
- Meets the specific qualifications necessary to perform the requirements of the job description.
- Is willing to raise support for the chapter as the Lord provides opportunity.
GENERAL RESPONSIBILITIES:
- Fulfilling the purpose of Child Evangelism Fellowship.
- Executing and accomplishing the plans/objectives of the local director, local board and state board.
- Working closely with the local director, various ministries, other staff and the volunteers.
- Promoting CEF as opportunities arise.
- Being actively involved in local ministry opportunities (GNC, CYIA, Party Clubs, 5 Day Clubs, Storyhouse, etc.)
- Following all policies and procedures of the local chapter and the USA Operations and Policy Manual.
SPECIFIC RESPONSIBILITIES:
- Greet visitors and answer the phone in a manner that positively promotes the ministry and respects the needs of others; properly tracking and relaying messages or responding to requests.
- Open, sort and care for mail as appropriate.
- Care for general office filing, ongoing record of inventories, petty cash, and other hands on office tasks.
- Order ministry materials and office supplies such as: curriculum, tracts, envelopes, paper, etc.
- Prepare letters, agendas and other forms of correspondence (note cards, invitations, honorariums/memorials, etc.) on computer and copier as needed.
- Regularly perform “Donor Care” by sending handwritten notes of appreciation for their support & ministry partnership.
- Maintain volunteer records as to ensure compliance with CEF’s Child Protection Policy and PA State Laws.
- Maintain an up-to-date mailing list and student, worker, and church databases.
- Maintain an ongoing record of ministry statistics and event summaries at the conclusion of each outreach.
- Care for the organization and appearance of the CEF office.
BOOKKEEPING RESPONSIBILITIES:
- Become proficient in bookkeeping responsibilities and act as liaison to the board and the treasurer.
- Prepare invoices for payment in a timely manner, as to never incur finance charges or late fees.
- Track donor contributions and send monthly receipts along with thank you letters on behalf of the board.
- Maintain all financial records and checkbook reconciliation using QuickBooks Software.
- Prepare reports as necessary for the state office, local board and local director.
OTHER RESPONSIBILITIES ON AN AS NEEDED BASIS:
- Assist in developing/preparing materials for Good News Clubs, 5-Day Clubs, Party Clubs, Camp Good News, etc. (This may involve using computer, copier, laminator and/or binding machine).
- Assist in preparing newsletters, prayer calendars, and training materials.
- Assist/take lead in planning events and participating as appropriate.
- Conduct searches to find statistical and demographical information.
- Perform other duties as requested by Local Director.
