JOB DESCRIPTION – OFFICE MANAGER
GENERAL OFFICE
- Answers phones, transfers calls, and takes messages
- Receives and sends emails
- Schedules and makes reservations for Hosted Groups
- Collects necessary demographic and preliminary retreat information from groups
- Gathers all details for retreat logistics, with the help of volunteers
- Creates and maintains Master Calendar (hard copy and digital)
- Creates weekly calendars for Housekeeping and Kitchen staff
- Gives tours to interested Hosted Program inquirers
- Works with Front Desk to schedule Private Retreats
- Orders supplies and receives deliveries
- Creates invoices and receives payments for Hosted Groups
- Creates room lists for Hosted groups and handles keys with Front Desk and Volunteers
- Greets Hosted Group guests and hands out keys, as needed
- On weekdays, gives Orientation talks to arriving Hosted Groups
- Schedules repairs and maintenance for office equipment
- Consults with Housekeeping and Kitchen
- Utilizes and updates website
- Handles questions and assists guests, as needed
- Gives people directions on how to find their way
- Supervises and directs volunteers
- Maintains mailing lists and coordinates mailings
- Uses USPS Intelligent Mail for Small Business to create mailings, including taking to the post office
- Reports to Executive Director
- Coordinates staff events
- Creates fliers and worship aids using Word and Publisher
ADDITIONAL RESPONSIBILITIES
- Attends Staff Meetings every other week
- Occasionally meets with staff from the Sisters of Social Service
- Receives required training (first aid, tutorials for software programs)
- Other duties as assigned or needed
SKILLS NEEDED
- Good customer service skills
- Computer skills including Microsoft Word, Office, and Excel
- Must be detail oriented
Job Types: Full-time, Part-time
Pay: $19.00 - $22.00 per hour
