Description: The Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency, and safety. The Office Manager is responsible for streamlining administrative procedures, maintaining office cleanliness and presentation, handling/directing all incoming customer service concerns, inventory control, and working with event supplies receiving and dispatching. A successful office manager is an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and support-related tasks and able to work independently with little or no supervision. Well organized, clean, flexible, and enjoys the administrative challenges of supporting an office of diverse people.

Duties:

  • Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands
  • Manage relationships with vendors, service providers, and landlord, ensuring that all items are paid on time
  • Maintain cleanliness of office
  • Manage contract and price negotiations with office vendors, and service providers
  • Manage office lunch orders
  • Coordinate with IT department on all office equipment (Cameras, internet, badging system, etc.)
  • Monitor and maintain office supplies inventory
  • Review and approve office supply acquisitions
  • Handle customer inquiries and complaints (Email, phone call, Intercom)
  • Maintain CRM
  • Provide general support to visitors, check in and visitors badge
  • Organize office operations and procedures
  • Oversee adherence to office policies and procedures
  • Analyze and monitor internal processes
  • Implement procedural and policy changes to improve operational efficiency
  • Design and implement filing systems
  • Ensure filing systems are maintained and current
  • Establish and monitor procedures for record-keeping
  • Ensure security, integrity, and confidentiality of data
  • Organize orientation and training of new staff members
  • Partner with HR to maintain office policies as necessary
  • Maintain a safe, secure, and pleasant work environment
  • Coordinate office staff activities to ensure maximum efficiency

Pay: $31.00 - $36.00 per hour
