Medical Front Office Specialist
Job description
At the DRIPBaR Buford and Jolie Visage Medspa and Clinic, we provide our clients with the highest quality intravenous and intramuscular vitamin drips and aesthetic services.
Our Front Office Communication Specialist are our first impression, welcoming guests and clients. They answer queries, screen phone calls, confirm appointments, relay instructions, help our nurses and manage our important dashboard functions.
The ideal Front Office Communications Specialist must demonstrate the ability to multitask, have strong communication skills, the ability to prioritize tasks, customer service skills and must be able to work independently with and without direction. The candidate must also have a passion for marketing, social media and administration. We will strongly consider those with a background in esthetics who may wish to provide services.
Job Duties
- Managing office communications—fielding organizational phone calls, emails, and traditional mail
- Maintaining office services
- Collaborating with others to help plan events and initiatives
- Scheduling and managing clients
- Selling and renewing memberships
- Generate a high number of new & repeat inquires by calling clients to ask for business and delivering fanatical customer service as we learn how we can help them.
- Respond with remarkable speed and quality to incoming inquiries.
- Maintaining contact lists
- Representing office interests in relationships with external associates, including vendors, consultants, and clients
- Tracking and ordering office supplies
- Handling incoming and outgoing packages and mail
- Creating reports if needed
- Assisting nurses when appropriate
- Assist with obtaining creative marketing content for social media, emails (i.e. taking pictures, recording video content for editing and etc.)
- Assist Owner with any necessary operational needs.

- Multitask and quickly shift tasks to complete a variety of menial duties without letting anything fall through the cracks
- Maintain composure when things go wrong
- Be prompt and prepared at all times
- Remember key details as multiple people make verbal, hand-written, and emailed requests throughout the day
- Experience with managing & posting on multiple social media channels
- Work quickly, but accurately
- Be an incredible team player who works hard to help our team, our talent, and our clients
- Must have a passion with designing, preparing and distributing materials to promote The DRIPBaR
Working Conditions
May work around usual office and outpatient conditions. During busy periods, may require periods of time standing and/or walking. May work around biohazards. Exposure to blood-borne pathogens is possible. Exposure to chemicals and commercial items typically found in offices, medical clinics, and building repairs /maintenance.
Job Type:
Part-time/PRN work. Clinic hours are 10:00 am - 7:00 pm Monday-Friday, Saturday is 10:00 am - 5:00 pm. Every other weekend commitment preferred, presence at out of office events may be required. Must have the flexibility to offset departmental needs.
