Legal Intake Specialist

Olawale Law Firm is looking for a motivated, self-starter to join our team as a Legal Intake Specialist.

The position’s focus is to be the first communicative contact of the law firm. The intake Specialist must possess the skills to communicate our service information clearly to potential clients and encourage them to retain our services. The position requires sales communication skills to convert potential leads to become clients. It involves following up with leads to communicate the value of our services and convincing them to hire us.

The position requires the ability to communicate effectively through phone calls, texts, chats, and e-mails. It involves collecting and entering leads and clients’ information and entering the data into the firm’s portal.

Olawale Law Firm is a multi-cultural practice with diverse clients. We handle personal injury and immigration law cases.

We are looking for an individual who is focused and can manage a high-volume and time-sensitive workflow effectively and efficiently. Strong people skills are necessary. The position requires one to work both independently and within a team environment.

Prior customer service experience, marketing, or administrative experience is required. Prior Experience in a legal setting is a plus.

Skill Requirements and Job Duties:

Communicate frequently with clients. Clients seek our professional services related to the most traumatic events in their lives, so compassion and empathy are critical.
Administer and maintain the electronic document filing system
Draft legal documents (complaints, propound/respond to discovery, immigration forms)
Finalize and proofread drafts.
Maintain attorneys’ calendar, including calendaring appearances and deadlines.
Prepare notices, schedule depositions, and serve subpoenas.
Secure medical records from various treating healthcare providers.
Gather healthcare lien information.
Assist with fact investigation.
Excellent verbal and written communication skills.
Bilingual English / Spanish desired. (Please indicate on your resume).
Must be proficient in all Microsoft Office-based computer programs.
Self-motivated and must take the initiative.
Ability to make timely decisions during emergencies, difficulties, and challenges.
Focus on meeting demanding deadlines.
Meticulous attention to accuracy, detail, and organization.
Must maintain professionalism in stressful and challenging situations.
Naturally inquisitive, continuous learner, hungry for new knowledge/skills.
Ability to maintain confidentiality
Well-organized and detail-oriented, able to multi-task and function positively in a fast-paced environment.
Ability to adhere to law office procedures.
