MassHealth is seeking qualified applicants for the position of Intake Coordinator. The Intake Coordinator is responsible for assisting the Hearing Administrator in the handling of intake policies and process for all incoming requests for fair hearing including drafting/updating policies and procedures as needed to address workflow needs. Additionally, the Intake Coordinator will coordinate mail and fax intake, appeal verification processes under the supervision of the hearing Administrator. The Intake Coordinator will serve as a liaison with MassHealth Enrollment Centers and any/all agency units regarding questions related to fair hearings,
Duties and Responsibilities (these duties are a general summary and not all inclusive):
- Assist in the development and implementation of intake procedures to ensure the appropriate and expeditious disposition of appeals and avoid jurisdictional and scheduling errors.
- Serve as a subject matter resource to administrative intake, scheduling, and hearing officers for validation of information MMIS, MA-21, HIX, PACES, MyWorkSpace, Virtual Gateway, Appeals Processing System, and/or other legal case management systems.
- Assist in the development of workflow charts and/or review administrative functions related to the screening of fair hearing requests.
- Respond to inquiries from program staff and others to provide information concerning scheduled hearings.
- Serve as resource to the public and liaison with legislative office with questions regarding fair hearings and claims for adjudicatory hearings.
- Serve as a liaison with MassHealth Enrollment Centers, providers, and any/all agency units regarding questions related to hearings.
- Assist with system inquiries/notice searches, forms, reports, and/or correspondence as staff may require.
- Help with maintaining electronic records and files.
- Provide telephone coverage for handling incoming calls and inquiries.
- Assist in the management of all aspects of record retention, digitalization of files, archival process.
- Serve as a resource to the public with questions regarding fair hearings and haring processes.
Preferred Qualifications:
- Ability to gather information, formulate questions, and/or make recommendations for resolution;
- Ability to maintain a staff calendar, accurate records, and reports;
- Ability to effectively multi-task and work in a busy environment;
- Ability to adjust to varying or changing situations to meet emergency or changing program requirements;
- Ability to exercise sound judgment;
- Proficient use of Word, Excel, Microsoft Teams, and Zoom;
- Ability to learn and access a variety of information systems supported by a variety of technological platforms;
- Ability to exercise discretion in handling confidential information;
- Ability to assist in the coordination and supervision of clerical staff;
