Purpose and Scope
The Gift Processing Specialist position is responsible for receiving, recording, and acknowledging contributions to The Gideons International Headquarters. The specialist assists members and donors with giving through outstanding phone and e-mail customer service, investigating gift issues, resolving donor concerns, and maintaining an accurate database to give donors an excellent donor experience. The role requires that all gifts and other accounting data are handled discretely and confidentially.
Additionally, the role is responsible for the administration of planned gifts including non-cash gifts. This role specifically updates database records and coordinates the execution of CGAs, CRUTs, CRATs, life insurances, security gifts, gift-in-kind gifts, and non-cash gifts. Customer service is provided through phone, email, and addressing inquiries from donors. Additionally, leads communication with partnering vendors (brokers and insurance agencies) and government entities.
Essential Job Functions
Receiving, Recording, and Acknowledging Contributions
  • Assist the Finance Division with the mail opening procedures.
  • Perform data entry associated with donations according to established procedures.
  • Review entry from offsite processing center and process correspondence
  • Update the database with new contact or preference information from donor correspondence and return mail.
  • Set up and maintaining recurring gifts.
  • Prepare GideonCard requests for the offsite processing center.
  • Prepare daily receipt batches to be processed and file associated paperwork.
  • Work with other staff members on customizing acknowledgments
  • Resending receipts and annual statements
  • Merging duplicate records in the database
  • Auditing and identifying database record inconsistencies or issues and take corrective action.
Customer Service
  • Provide excellent customer service assisting with phone call donations and GideonCard orders.
  • Provide excellent customer service listening to and answering donors’ voicemails in the Donor Services’ voicemail inbox.
  • Provide excellent customer service answering donors’ emails in the Donor Services’ email inbox.
  • Contact donors when a credit card donation declines or a check is returned.
  • Investigate gift record issues, inaccurate gift entries and unknown donor gifts, and take corrective action such as a refunds and transfers to resolve the issues.
Planned Gift Administration
  • Manage Charitable Gift Annuities administration including setting up accounts with investment custodians and facilitating payments to annuitants. Maintain charitable gift annuity licenses with established states. Maintain annuitants’ data (e.g., address, banking, etc.). Annually provide 1099s to annuitants.
  • Assist with setting up new Charitable Remainder Uni-Trusts. Process monthly checks and EFT payments. Maintain annuitants’ data. Annually provide K1’s to annuitants.
  • Orchestrate Life Insurance Policies premium payments. Process acceptance of life insurance policies donated to The Gideons International. Maintain donor data.
  • Partner with Donor Relations Advisors on communications related to the planned giving process.
  • Lead the entry of all security gifts and properly acknowledge all gifts.
  • Review, reconcile, and enter all iDonate gifts into the database.
  • Provide administrative support to the liquidation, appraisal, and record keeping of non-cash, in kind gifts to be sold.
  • Coordinate with other Stewardship departments in the non-cash and planned gift appreciation efforts.
  • Assist with Estate Coordination as needed.
Staff Devotions
  • Participate in daily morning staff devotions. Serve by praying and reading Scripture in support of devotion leaders on a rotating basis.

Works Closely With: Director, Stewardship; Sr. Manager, Stewardship Operations; Camp Accounting; Membership Services; Financial Reporting, Auditing & Compliance; outside estate representatives.

Work Environment and Time Requirements
Climate-controlled office environment

Hybrid work model
Minimum Qualifications
Two years’ experience in maintaining detailed records or customer service.
Typing and data entry skill set - minimum of 50 words/minute
Mature, responsible, driven, and able to work independently with minimal supervision.
Successful completion of a drug and background screen
Preferred Qualifications
Bachelor's degree
Preferred experience in databases preferably in finance or fundraising
Proven experience with database maintenance
