We are a close-knit team that continues to grow and mature and are looking for a new team member to join us as a Finance Coordinator & Administrative Support “SUPERSTAR”. Proficient Keeping Records – If our company is to operate smoothly and future planning is to be correct, it is paramount that all financial record keeping is detailed and accurate. The ideal candidate for this position will find great satisfaction in keeping pristine records. The candidate will understand how accounting records work together to create accurate financial reports and will find joy in making sure items are always correctly categorized.

High Technology Proficiency – The ideal candidate will enjoy using technology and will be willing to learn and become proficient using the various software packages needed to operate the business. The ideal candidate will have previous experience using the Microsoft Office suite and will be very comfortable using Excel and Outlook.

Responsibilities & Duties:

Accounts Receivable

  • Verify accuracy for service and project work on invoices
  • Verify accuracy for monthly and annual agreements
  • Create and send out all service, project, and agreement invoices
  • Generate and send out monthly customer statements for outstanding invoices
  • Follows up with customers to collect on overdue outstanding invoices
  • Work with customers to answer any questions they may have regarding invoices, etc.
  • Enter customer payments and generate bank deposits
  • Deliver deposits to the bank

Accounts Payable

  • Verify the accuracy of payables and pay any outstanding bills
  • Generate payroll checks in the online payroll system and transfer data to QuickBooks
  • Reconcile and pay sales tax
  • Reconcile all bank and credit card accounts

Misc.

  • Synchronize financial data between ConnectWise & QuickBooks
  • Keep product and item lists up-to-date and accurate
  • Generate journal entries to make necessary adjustments to keep reports accurate
  • Verify the accuracy of financial reports
  • Ensure data used in financial reports is organized and meaningful
  • Setup and maintain spreadsheets to track financial reports
  • Collaborate with the management team to streamline the configuration of finance software
  • Prepare tax materials and oversee creation of 1099’s

Administrative Support

  • Work with management to create standardized procedures
  • Prepare and modify documents and presentations to support management
  • Open mail and distribute to appropriate personnel
  • Generate service tickets for calls received when personnel are not available
  • Assist in resolving administrative problems
  • Prepare and drop off shipments

Merchant Services Support

  • Oversee collection of customer information for quotes and contracts
  • Use Excel to assist in preparing quotes for potential customers
  • Prepare merchant service contracts for new customers
  • Provide first-line customer service support for issues relating to merchant services

Additional Information:

  • Job Type: Part-time with potential for Full-time in the future
  • Schedule: Monday to Friday
  • Flexibility: After the initial 30-day evaluation period, based on overall performance, the ability to work remotely along with a more flexible work schedule will be evaluated and adjusted depending on practicability.

  • Travel: No travel
  • Starting Compensation: $12 - $16 per hour
