Hiring Range


The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is $72,400-$133,200. The budgeted salary or hourly range that the University reasonably expects to pay for this position is $80,500.

About the Job


Responsible for supervising the administrative services of the academic departments and graduate groups within the School of Natural Sciences (SNS). Reports to the SNS Chief of Finance and Operations. Administrative services include all or some of the following functions: IT, facilities, student services, contracts and grants, budgetary, financial management, and/or human resources. Supervises support and/or professional staff and oversees the overall Department and Graduate Program support organization.

KEY RESPONSIBILITIES

Supervision of staff:

  • Selects, develops, and evaluates personnel to ensure the effective, efficient, and parallel operation of departmental functions across the School. Manages daily activities of administrative staff, sets priorities and deadlines for completion of tasks, and, with guidance from the SNS Chief of Finance and Operations, develops, implements, and manages processes for the department.

  • In partnership with the SNS Dean, SNS Assistant and Associate Deans, other school staff (as needed), Department Chairs, and Graduate Program Chairs, participates in the development and monitoring of policies, processes, and procedures for Department and Graduate Program support operations. Responsible for leading school efforts for process improvement initiatives.

Administrative Operations:

  • Oversees the overall Department and Graduate Program support organization for SNS. Operations include: budget and finance, department staff, facilities and space planning, student services, communications, and IT.

  • Supervises Department and Program Managers and their staff and provides direction on communication, marketing activities, best practices in operations, and the overall faculty support team budget.

  • Monitors graduate admissions and update school offer letters; work with the Finance team to manage Dean USAP account; prepares and leads funding call sent to faculty prior to each term.

  • Interfaces with Dean’s office and, as needed, central offices such as Academic Personnel, Procurement, Space, Web management, Facilities, IT, Registrar, and Human Resources.

Curriculum Planning and Program Coordination:

  • Supports Department Managers in overseeing the delivery of instruction for the department, working closely with the chair, faculty, department staff, and Dean’s office. Serves as a point of contact in curricular matters, and ensures coordination between the departments and the Dean’s office. Monitors overall SNS instructional budget performance and advises on changes to course offerings, instructor assignments, and resource needs. Provides oversight for hiring TAs, readers, and other graduate students for each semester.


Qualifications


EDUCATION and EXPERIENCE

  • Bachelor’s degree Economics, Administration, or a related area. (Required)

  • Advanced degree in Business Management, Finance, Economics, Administration, or a related area. (Preferred)

  • Three years of directly related, progressively responsible experience managing the operations of an organization and supervising staff, or seven years of equivalent education and experience. A Master’s degree is preferred but may not substitute for the required years of experience. (Required)

CRITICAL KNOWLEDGE AND SKILLS

  • Advanced knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and personnel management.

  • Broad knowledge of common organization-specific and other computer application programs.

  • Provide strong customer service to the faculty. This requires both a deep appreciation for faculty challenges and needs as well as the ability to be highly responsive to their requests; an understanding of the campus’s administrative structure and processes, including the limitations on it by the system or that are legally required; and a demonstrated ability to successfully expedite and resolve administrative issues through creative problem-solving and interpersonal interactions.

  • Demonstrated experience in financial and accounting systems, including modeling, forecasting, and planning. Experience locating, identifying, analyzing and synthesizing large quantities of data, identifying needs and developing recommendations.

  • Strong analytical/problem solving skills, demonstrated success in driving complex strategies and projects, outstanding cross group organizational skills and agility.
