This position will serve as the Facilities Coordinator for the Law School and Law Library, reporting to the Assistant Dean for Finance and Operations. Under general supervision, the facilities coordinator will perform a variety of central support services related to facilities, safety, space planning and general office functions. The Facilities Coordinator will attend to the day-to-day building facilities needs, space planning and safety operations, and is responsible for establishing and maintaining accurate record keeping, filing systems and database files. This position will serve as a central point of contact related to facilities for faculty, staff, students and visitors to the school. This work includes supporting renovation and capital projects in the building. Coordinator will manage one or two student workers to support building operations.

DUTIES AND RESPONSIBILITIES

Facilities, Planning & Maintenance

  • Lock or unlock building classrooms at the beginning and end of the business day.
  • Serve as custodian of key inventory; issue keys, collect keys, maintain appropriate control records and manage the key database.
  • Prepare and submit requests for keys or lock changes as needed.
  • Enter requests for building access for students, faculty, staff, contractors, and members of the UW community into the CAAMS system.
  • Maintain map with office and room assignments.
  • Serve as the School's Building Coordinator and work with UW Custodial Services and UW Facilities Services regarding both emergency and routine repairs and service requests.
  • Refer non-routine matters to supervisor or to the appropriate central university offices.
  • Provide administrative support regarding facilities issues throughout the building.
  • Carry a master building key and unlock and relock classrooms, offices and storage rooms as needed.
  • Serve as first line of response for requests to rearrange or provide additional furniture or fixtures to classrooms or offices.
  • Refer emergency situations to supervisor.
  • Serve as liaison with UW Police regarding building security and crime prevention issues.
  • Manage mail processing and delivery.
  • Coordinate with vendors and prepare purchase orders for building equipment.
  • Coordinate receiving, storage, moving and disposal of equipment and furnishings.
  • Serve as liaison with UW Moving & Surplus and with outside delivery vendors; notify appropriate personnel regarding equipment deliveries.
  • Respond to occasional evening and weekend phone call inquiries.
  • Assist with office moves and coordinate with UW Moving & Surplus as needed.
  • Coordinate logistical support for special events such as receptions and conferences.
  • Collaborate with events and custodial staff to ensure all events and special programming are managed safely and within School’s capacity, and University policies and procedures.
  • Assist with School of Law events, including setting up and taking down event equipment.
  • Maintain an inventory management tool to keep track of Law and Law Library’s assets.
  • Serve as point of contact for major and minor capital projects, and construction or renovation with the school.
  • Send updates to law community regarding building updates and safety.
  • Ensure that questions and requests from both faculty and support staff receive attention and timely response.
  • Requests are submitted via an online ticketing system which the coordinator is responsible.
  • Manage recruitment, hiring, and onboarding processes for student workers.

    Safety and Compliance

  • Serve as Fire/Safety Officer for William H. Gates Hall.
  • Coordinate building Fire/Safety meeting, training and drills.
  • With supervisor, develop plans for emergency preparedness for all occupants of the Law School and Law Library.
  • Develop and maintain written policies and procedures for school facilities maintenance.
  • Maintain and update COVID-19 Prevention Plan.
  • Communicate with EH&S regarding COVID-19 updates to building facilities, including PPE and signage.
  • Serve as interdepartmental liaison with Facilities Services, University Police Department, Environmental Health and Safety, and other appropriate departments or agencies.
  • Perform other duties as required.

    MINIMUM REQUIREMENTS


  • Bachelor’s degree or three years of experience in the program specialty (facilities management/building coordination)
  • Increasingly responsible experience in office, clerical or general administrative work.

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    ADDITIONAL REQUIREMENTS


  • Demonstrated ability to work independently under general direction without detailed supervision and be successful in working independently with others to accomplish program goals.
  • Increasingly responsible experience in office, clerical or general administrative work.
  • Familiarity with a variety of office equipment, including computers, phones, copy/duplicating equipment.
  • Experience with Microsoft Access, Excel, Adobe and Word. The ability to create and maintain databases and generate reports based on data collection fields.
  • Strong interpersonal skills and demonstrated commitment to service. The ability work with diverse groups of people is essential.
  • Highly motivated with the ability to juggle multiple tasks, set priorities, work under pressure and adapt to changing priorities.
  • Must be able to exercise independent judgment to prioritize workload and resolve problems.
  • Experience managing special events.
  • Ability to recognize unsafe conditions and apply relevant policies.
  • Excellent written and oral communication skills.


  • Ability to lift/move up to 40 lbs. and the ability to move/push furniture and equipment as needed.
  • Must be flexible regarding work assignments and willing to share tasks in order to meet the service needs and deadlines of the School of Law.
  • Must be able to work Monday through Friday, approximately 8:00 AM - 5:00 PM, and accommodate a flexible work schedule as needed, including some evenings and weekends to support events.
  • This is an essential staff position that may be required to report to work on days of campus or building closure, in order to ensure mail is delivered and continue other critical functions during disruptions to normal operations.
