Primarily, the Facilities Coordinator will generate work requests for corrective and preventative maintenance (PM) activities for both equipment and buildings. Activities will include receiving work requests, creating work orders and tracking the progress and closure of the work orders and PMs. This includes scheduling internal/external contractors and vendors as applicable. Responsible for maintaining and improving the computerized maintenance management system (CMMS) to reduce cost, improve sustainability, and develop best practices around maintenance of mechanical, laboratory and process equipment and systems. The Facilities Coordinator will serve as the system manager of the CMMS for Facilities. Will ensure that documents received from vendors and employees are consistent with all applicable quality procedures and policies. Additionally, the Facilities Coordinator will act as the planner between all WuXi AppTec’s facilities located in the Philadelphia Navy Yard. This position will also maintain work scheduling with FAC and end users.
Responsibilities:
- Review incoming service requests with FAC and requesting department. Schedules with both groups
- Coordinate and tracks all maintenance activities with impacted departments
- Perform periodic reviews of open requests and overdue/upcoming requests
- Schedule and forecast contractor work
- Track maintenance data via BMRAM and works with management to suggest and implement improvements
- Coordinate work with lab aides and laboratory managers/coordinators
- Process purchase requests
- Identify new vendors for contracted services
- Familiarize self with basics of facility infrastructures (plumbing, electrical, mechanical, etc.)
- Provide contractor training
- Review work performed for accuracy and GDP compliance
- Provide support in writing/updating procedures, policies, SOPs, Forms, and work flows as needed to support facilities operations
- Build/modify CMMS Equipment records as directed by facilities management
- Manage work orders in the CMMS system ensuring proper creation, updating and closure of work orders
- Generate queries and reports for systems/equipment in the CMMS system to support shutdowns and exception reporting
- Suggest, participate, and implement continuous improvements
- Provide training for all levels of the CMMS users
- Support CMMS software updates and activities
- Communicate Facilities department needs to associated departments as required
- Maintain positive effective relationships with vendors, coworkers and both internal and external customers
- Contact and schedules contractors/vendors for facilities related repair, PM, and maintenance actions as required
- Perform other duties and responsibilities as assigned
- High School diploma and at least 4 years of relevant experience in the biopharmaceutical industry or Bachelor’s degree and 1 year of experience in a regulated facility or equivalent.
- A thorough knowledge of CMMS
- Technical writing skills a plus.
