The Executive Administrator provides high-level administrative support directly to the VP-DES and the Distributed Energy Solutions (DES) organization at-large. In addition, the Executive Assistant serves as the primary point of contact for internal and external individuals on all matters pertaining to the VP-DES.


This reports directly to the Vice President and Head of Distributed Energy Solutions (VP-DES). This position will be located in ENGIE’s Oakland office, with a hybrid schedule of both in-office and work-from-home days.


What you’ll do:

  • Completes a broad variety of administrative tasks for the VP-DES including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes highly confidential; arranging travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Complete and submit Timesheets and Expense Reports
  • Maintains organizational chart for the VP-DES department.
  • Submit requests for office equipment/software and office moves
  • Supports the facilitation of internal VIP visits from Global Business Unit leadership and North America Executive Committee members to the main DES offices
  • Supports the field travel of the VP-DES and visits to customer events and customer sites
  • Prepare executive briefings and facilitate the development of content for various presentations
  • Coordinate document and contract signatures with local business administrators, distribute mail and assist with outgoing mail and FedEx
  • Provide assistance with other departmental duties as workload permits
  • Special Projects may be assigned as needed
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the VP-DES, including those of a sensitive or confidential nature
  • Determines appropriate course of action, referral, or response
  • Provides a bridge for smooth communication between the VP-DES office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
  • Carries out other duties as assigned

What you bring:

  • Associate degree required
  • Bachelors degree preferred
  • A minimum of two (2) years of experience supporting C-Level (preferred) or senior level executives required
  • A proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Concur
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external partners
  • Expert level written and verbal communications skills
  • Demonstrated proactive approaches to problem solving with strong decision making capability
  • Highly resourceful team player, with the ability to also be extremely effective independently and exercise good judgment
  • Proven ability to handle confidential information with discretion be adaptable to various competing demands, and demonstrated the highest level of customer service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Ability to work under pressure handling a wide variety of activities and confidential matters with discretion

  • Salary Range: $51,425-$130,650 USD, annually
  • Actual salary offered may vary depending on geography, experience, education, internal pay alignment, or other bona fide factors
  • In addition to salary, this position is eligible for a competitive bonus / incentive plan
