POSITION SUMMARY:

Under the direction of the Parks and Recreation Director, this position performs a variety of clerical and administrative duties in the Parks and Recreation department. Clerical duties may be assigned in accordance with the office procedures of individual establishments and may include a combination of answering telephones, reservations for city owned facilities, typing or word processing, report and presentation preparation, invoice processing, mail pick up, budget entry, office machine operation, and filing.


ESSENTIAL FUNCTIONS:

  • Receives work orders and processes them through internal systems for completion.
  • Compiles Parks and Recreation department budget annually.
  • Assists with web page development and social media publications.
  • Prepares invoices and requisitions for payment using city specific software.
  • Assists public with recreation program registrations, pavilion rentals, field reservations, etc.
  • Communicates with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders and address complaints.
  • Answers telephones, direct calls and take messages.
  • Compiles, copies, sorts, and files records of office activities, business transactions, and other activities.
  • Maintains and updates filing, inventory, mailing, and database systems, either manually or using a computer.
  • Organizes contracts, agreements, calendar renewals, due dates, and other details.
  • Backs up the department administrative assistant.
  • Performs other related duties as assigned and directed.

MINIMUM QUALIFICATIONS:

  • Education – High school diploma or G.E.D equivalent. Associates degree preferred.
  • Experience – Four years of secretarial experience, with at least two years performing advanced clerical and administrative functions related to accounting, finance, or records management. Experience as a legal secretary, grant coordinator, budget analyst Municipality experience preferred.
  • Licenses/Certifications – Valid Utah Driver License.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of –
    • Correct English usage, spelling, and vocabulary.
    • Personal computer applications and data entry, access, and retrieving.
    • Spreadsheet and word processing software.
  • Skill with –
    • Phone procedures and etiquette.
    • Customer service, such as greeting customers, guests and visitors, answering customer or public inquiries, obtaining information from individuals, residents, and responding with a high degree of accuracy, with a high level of courtesy, and a strong public service orientation.
  • Ability to –
    • Type letters and correspondence.
    • Take messages.
    • Complete purchasing requisitions.
    • Consistently exercise initiative in using time productively and without close supervision.
    • Handle confrontational situations and make sound decisions.
    • Project a professional image when serving the public.
    • Establish and maintain effective working relationships with both internal and external customers.


WORKING CONDITIONS AND PHYSICAL DEMANDS:

Typical office setting with comfortable climate controls. Tasks require a variety of physical activities such as walking, standing, stooping, sitting, reaching, talking, hearing and seeing. Common eye, hand, finger dexterity required for most essential functions. Mental application utilizes memory for details, verbal instructions, emotional stability and discriminating thinking and creative problem solving. Occasionally lifts or otherwise moves objects weighing up to 20 pounds. May drive a motor vehicle.


COMPENSATION AND BENEFITS
:

  • Monday to Friday 8 a.m. to 5 p.m., on site
  • Salary range: $20.17 - $32.23 per hour (Starting wage is dependent on experience.)
