About the Opportunity:
DMI (Digital Management, LLC.) is seeking an Executive Assistant to the CEO. The Executive Assistant would be required to proactively plan and direct all administrative activities such as managing communication, calendar, travel planning, coordination, follow-ups, events, and associated logistics. Overall, as an Executive Assistant to the CEO, you will play a critical role in ensuring the smooth operation of the organization. You will need to be highly organized, detail oriented, and able to work independently. With an analytical, detailed oriented and forward-thinking mindset, the candidate would need to manage the aforesaid tasks and identify critical issues to share with the CEO. A successful candidate will have excellent verbal, written communication, and persuasion skills. This role will require the ability to develop and build strong internal working relationships to include other members of the executive team and leadership stakeholders across DMI.

DUTIES AND RESPONSIBILITIES:

  • Managing the CEO's calendar: As the Executive Administrator, you will be responsible for managing the CEO's calendar and scheduling appointments and meetings as needed. This will require you to coordinate with other members of the executive team and to prioritize the CEO's time based on their schedule and priorities.
  • Coordinating travel arrangements: You may be responsible for arranging the CEO's travel, including flights, accommodations, and ground transportation. This will require you to work with travel agencies and to be familiar with the CEO's preferences and travel habits.
  • Handling communications: You will be responsible for managing the CEO's email inbox, drafting correspondence, and answering phone calls. You will need to have excellent communication skills and be able to represent the CEO in a professional and effective manner.
  • Organizing meetings: You may be responsible for organizing meetings and events for the CEO and other members of the executive team. This may involve coordinating with vendors, setting up meeting rooms, and preparing materials.
  • Supporting the CEO's initiatives: You may be asked to support the CEO's initiatives by conducting research, preparing reports, and coordinating with other departments in the company. You will need to have strong analytical skills and be able to work independently.
  • Managing office operations: You may be responsible for managing office operations, including ordering supplies, maintaining equipment, and ensuring that the office runs smoothly. This will require you to be highly organized and detail-oriented.
  • Protect the integrity of confidential information for all matters
  • Perform other general office and administrative tasks as required by the position
Qualifications:
Education and Years of Experience:
  • 2-4 years of administrative experience
  • Must possess prior executive support experience as an Executive Assistant or Executive Administrator to a CEO
Required Skills/Certifications:
  • Must possess the highest regard for confidentiality and professionalism
  • Strong attention to detail
  • Self-motivated with strong organizational skills; Able to prioritize work and meet deadlines; Perform in a fast-paced environment, handle multiple tasks and available extended hours for any exigencies and function as an integral part of a team with minimal supervision
  • Demonstrate excellent analytical mindset; Resourceful and able to solve problems with minimal supervision
  • Good grasp with travel planning, booking and ability to anticipate travel needs, mitigate issues, and collaborate with appropriate resources to resolve in a timely manner
  • Excellent working knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint, etc. )
  • Build relations in multiple levels; seen as a trusted advisor and partner
  • Ability to partner and collaborate with other executive assistants and team members in a proactive and positive manner
  • Ability to effectively communicate both verbally and written with all levels within the organization
