Environmental Professional/Abatement Administration

Reports to
: Administrative Manager

Primary Purpose
: Under general supervision, this position is customer service driven and responsible for smooth communications between the remediation / asbestos abatement groups, and field personnel, customers and suppliers and will be based in our Charlotte, NC office. Responsible for coordination and oversight of all administrative activity related to abatement personnel, projects, and operations. This position also serves as the liaison between the abatement group and Regional operations. We are seeking an experienced, motivated self-starter who will be responsible for all aspects of assisting project managers with assigned cases. You’ll assist with operations, data reduction, data analysis, and report preparation. You will also play an important role in ensuring projects are completed on time and within budget, following company policies and quality standards.

Essential Functions:

  • Professionally administer all incoming calls and ensure that calls are redirected accordingly
  • Ensure that customer, vendors and employees are handled in a professional and courteous manner
  • Arrange travel and special events as directed by management
  • Provide administrative support for the branch office/department to include assistance with bids and proposals, copier projects, mail handling, filing, office supply control and maintain office equipment
  • Ensure that timesheets, expense reports and personnel related paperwork is entered and/or completed properly and forwarded to the appropriate department
  • Track equipment usage on a weekly basis to ensure timely and accurate job costing
  • Prepare ad hoc reports for branch and/regional personnel as needed
  • Establish and maintain project, equipment/vehicle and administrative files
  • Coordinate A/R, invoicing and A/P functions for the group as needed
  • Serve as point of contact for new hire processing, medical surveillance and employee onboarding and training
  • Manage regulatory records / licensing management for the abatement group
  • File regulatory notifications for projects
  • Performs other duties as assigned or required

Knowledge/Skills/Abilities:

  • Successful candidate will have excellent written and verbal communication skills, strong math and analytical skills, knowledge of environmental regulations.
  • Must be computer literate and have the ability to utilize reference materials, including the internet. Proficiency in Microsoft 365 productivity suite required – particularly Excel, PowerPoint, Outlook.
  • Must be able to work without direct supervision. HAZWOPER 40 hour and confined space entry preferred.
  • A pre-employment drug screen, criminal background check, and physical exam are required.
  • High School Diploma, BS in Geology, Engineering, or Environmental Science preferred. Asbestos background a plus.
  • Two (2) years’ experience in an office setting
  • Must be customer service driven and detailed oriented
  • Able to work flexible hours as necessary
  • Excellent organizational skills with ability to work with minimal direction, multi-task and meet deadlines
  • Strong written and verbal communication skills
  • Bi-lingual Spanish/English required

Physical Requirements:

Must be able to lift and carry file boxes and other awkward items weighing up to 25 lbs, including up and down stairs. Requires intermittent standing, walking, sitting, squatting, stretching, and bending throughout the workday.
