GENERAL RESPONSIBILITIES:
The Documentation and Communication Specialist is responsible for planning, developing, and implementing operational policy and procedure documentation, communications that contribute to the overall operational integrity of customer-facing teams and back-office teams.
ESSENTIAL RESPONSIBILITIES:
  • Create internal policy and procedure documentation, operational communications, and training materials.
  • Create and design usable and efficient forms and quick reference guides.
  • Work with subject matter experts to gather and analyze data, develop documentation, and recommend efficient process improvements.
  • Verify accuracy and completeness with subject-matter experts and management for document accuracy.
  • Ensure all documentation is validated against current bank policy.
  • Plan, edit and write content for a variety of internal communication mediums, especially within a tight deadline.
  • Understand broad concepts and how they impact operational tasks and job duties.
ADDITIONAL RESPONSIBILITIES:
  • Act as writing, editing and proofreading expert.
  • Monitor, measure, track and analyze the effectiveness of operational materials and training programs.
  • Maintain documentation and communication files, including meticulous detail to version control and document integrity.
  • Keep the department repository for documentation current and up to date.
QUALIFICATIONS/PREFERRED SKILLS:
  • 5+ years recent experience writing business documentation, corporate communications and/or training materials.
  • Undergraduate degree in business/technical writing, communications, journalism, etc. preferred.
  • Experience using Information Mapping methodology and Instructional Design writing method.
  • Financial services experience preferred.
  • Ability to successfully utilize computer programs to complete job functions, including MS Office, PowerPoint, Excel, Bank proprietary systems, Adobe Acrobat, Adobe Captive, recording software.
  • Able to adapt quickly to changes in priorities, projects, and processes.

  • Excellent time management and organizational skills.
  • Ability to plan own work activities and easily manage multiple priorities.
  • Self-confidence to make decisions with limited guidance and time for in-depth analysis.
  • Exceptional work ethic and self-motivate.
  • Ability to develop relationships with team members to foster a positive work environment that ensures communication continuity.
  • Sincere commitment to work collaboratively with all teams within the Bank.
PHYSICAL/MENTAL REQUIREMENTS:
  • Must be able to stand and/or sit for long periods of time.
  • Digital dexterity and eye/hand coordination in the operation of office equipment
  • Light to moderate lifting and carrying of supplies, files, etc.
  • Body and motor skills sufficient to enable the incumbent to move from one office location to another
  • Capable of learning to use typical office equipment
