The Document Control Specialist is responsible for assisting and supporting the project team on a large-scale construction project. The position requires business management acumen and must demonstrate strong leadership, organizational and time management skills, as well as have strong communication and client service skills.
Major Duties & Responsibilities
Delivers accurate and timely document control reporting to project leadership
Works closely with project leadership and various functional leaders to proactively monitor and address upcoming issues related to project documentation and requirements
Formulates a document control action plan
Set up systems to manage all project related documentation including emails and other correspondence
Able to set up project workflows to ensure proper information flow
Implement new work flows and procedures to facilitate the field work process and expedite turnaround times
Process RFIs
Process Submittals
Set-up and maintain RFI logs and have the ability to track and report on the status of RFIs
Set-up and maintain Submittal logs and have the ability to track and report on the status of Submittals
Set-up and maintain drawing and sketch logs
Maintain drawing packages ensuring that correct drawings are being issued
Work with Project Managers to establish project close-out procedures and manage close-out documentation
Work with all parties to establish what submittals are required and liaise with scheduler to ensure this information is tracked
Attend construction site meetings to understand the work in progress
Trains and mentors resources in document control
Provide assistance to the management team in the claims analysis process
Coordinate with scheduling to establish project requirements
Job Skills & Abilities Guidelines
Computer knowledge and efficiency, including Microsoft Office products
Knowledge of document control standards and an understanding of document control systems
Risk management mindset
Strong financial/business knowledge
Thorough understanding of the construction industry
Possesses experience in managing project information
Understands industry terms and practices
Strong written and verbal communication skills
Ability to maintain discretion and confidentiality at all times
Ability to develop or maintain relationships with clients
Excellent time management and organizational skills
Strong decision making/problem solving skills
Education and/or Experience
Bachelor’s Degree (BA/BS) preferred
5+ years’ experience in document control/ project, program or construction management, or contract administration
Experience in related fields preferred
Experience in using Oracle Unifier, Procore, eBuilder and/or similar controls platforms
OSHA- 10 and OSHA- 30 certifications preferred.
Salary: $75,000.00 - $100,000.00 per year
