Job Summary:

IMMEDIATELY HIRING! WEEKLY PAY! The Dispatch/Administrative Assistant position is responsible for taking orders from customers and preparing tickets, relaying orders to Operations Manager, serving visitors by greeting, welcoming, and directing them appropriately; developing relationships with customers, notifying company personnel of visitor arrival; maintaining security and telecommunications system, answer phones and routing calls, dispatching of orders from customers, and other administrative duties.

Responsibilities:

Includes, but is not limited to the job specifications contained herein. Additional duties or job functions may be required as deemed necessary by management personnel.

· Process/confirm customer orders through the billing system

· Prepare sales quotes for customers

· Review/calculate timecards for Branch staff

· Review/calculate driver’s daily activity sheets and other required paperwork

· Report hours for Certified Payroll and resolve violations

· Assist with preparing for safety meetings

· Review monthly invoice register(s) for billing purposes making corrections as needed

· Coordinate deliveries/pickups with Operations Manager

· Order safety supplies and MOT supplies as needed.

· Provide back up to the Receptionist and Administrative Assistant by welcoming visitors by greeting them, in person or on the telephone; answering or referring inquiries, directing visitors and maintaining security by following procedures; monitors app log book and provides applications to potential employees, relaying phone calls to Branch Offices or Corporate personnel

· Maintain safe and clean reception area by complying with procedures, rules, and regulations

· Maintain continuity among work teams by documenting and communicating actions, irregularities, and continuing needs

· Perform filing, scanning and other administrative duties as required

· Contribute to team effort by accomplishing related results as needed

· Maintain time cards and records for employee’s hours on multiple jobs.

· Answer phones and provide information about Maintenance of Traffic services.

· Relay orders to in-house Operations Manager.

· Process customer requests for service or equipment, address customer complaints and questions, confer with customers or company personnel in order to provide required services.

· Prepare daily work and run schedules.

· Update customer accounts.

· Receive, prepare, track and file work orders & tickets, schedule and dispatch workers, work crews, equipment, or service vehicles to appropriate locations.

Desired Qualifications:

· High School Diploma (or equivalent)

· 3+ years of previous administrative experience

· Preferred: 2 years of experience in a construction / manufacturing / industrial / dispatch field

Required Skills:

· Advanced computer skills including Microsoft Office

· Excellent communication, listening and telephone skills, professional demeanor and customer service experience

· Ability to develop & maintain positive relations with internal management & external customers

· Ability to meet multiple deadlines

· Highly organized and extreme attention to detail

· Strong Computer Skills

· Customer Service Attitude

· Ability to multi-task and prioritize in a fast-paced environment

· Ability to work well both independently and in a team environment

· Occasional lifting up to ten lbs.

· Ability to work in a climate-controlled office environment

· Vision adequate (including corrected vision) to perform essential job functions

· Hearing (including corrected hearing) adequate to understand verbal information and maintain conversations for an hour or more over a telephone in order to perform essential job functions.

· Ability to read and write in English in order to process paperwork and communicate with clients and internal customers

· Must be able to sit or stand for extended periods of time

· Must have manual dexterity required for repetitive motions that may include the wrists, hands and/or fingers. Extended use of a computer, key pad or phone.

Job Type: Full-time

Pay: $17.00 per hour
