The Deputy Clerk Position, per Wis.Stats. 59.40, is a deputized position that provides court support for all case types within the Court system, including financial, jury management, records management, and customer service.
- Receives, processes, and maintains paper and electronic civil and criminal court records
- Processes various complex Orders from Court and performs all follow-up under stringent timelines; authenticates, certifies, and exemplifies documents upon request
- Processes court-appointed attorney bills; verifies accuracy, allowable expenses, and timeliness
- Maintains and update Judicial and Law Library publications
- Fiscal and bookkeeping responsibilities including receipting, disbursing, depositing and balancing substantial sums of money; establish pay plans
- Researches and analyzes delinquent accounts for issuing sanctions and/or submission to collection agency
- Reconciles and processes reports from a variety of internal/external agencies
- Interprets minutes from court to extract information, including complex Orders to prepare bonds at an appropriate level of detail to ensure understanding by the public
- Reviews Petitions and draft Orders for Court Appointed Attorneys
- Performs jury management duties
- Prepares and processes jury questionnaires; handles juror concerns through written, verbal, and electronic communications
- Summons jurors and prepares juror lists for Court; assists the Courts during jury selection process
- Collects data and prepares detailed jury reports including financial reports for payment
- Provides general procedural information, forms, and answers questions on form completion.
- Provides courteous, cooperative and respectful customer service to court partners and the public
- Accountable for case file retention, disposal and destruction per Supreme Court Rules (SCR 72)
- Responds to a high volume of written and verbal inquiries from internal/external agencies, media and general public, including Open Records Requests
- Performs jury bailiff duties as needed
- Perform other related duties as assigned or directed
- High school diploma or its equivalent (GED)
- Two (2) or more years of previous general office experience including responsibility for customer service, data entry, information processing and/or dissemination
- Proficiency in personal computer, database and network operating systems
- Appointment will be conditional upon successful completion of a criminal background check and verification of previous employment
