Summary:

This job is primarily responsible for interacting with customers to provide information to inquiries about vehicle products and services and to handle and resolve customer complaints.

Essential Job Responsibilities and Duties:

• Confer with customers by telephone or in person to provide information about vehicle products or services and obtain details of complaints.
• Investigate customer complaints to either solve the problem for the customer or pass the information on to the individual that can better assist the customer. This includes communicating with the sales and finance employees to obtain the background of the deal.
• Work with other OLO employees to direct customer complaints to the appropriate individual(s).
• Understand basic vehicle parts so as to assist customers when they are having mechanical or cosmetic issues with a vehicle.
• Access CarFax, AutoCheck, or other third party vehicle reporting websites.
• Utilize ADP, CDK and Dealersocket to pull deals, input and access customer information.
• Communicate with other dealerships via email and telephone in order to assist customers in resolving issues.
• Work with customers to get invoices, Good Will agreements and disclaimers signed.
• Communicate with the service department via telephone or email as needed to resolve customer issues.
• Inspect vehicles for scratches, dents, stains when customer drops off vehicles for service. Complete corresponding form and give a copy to the customer.
• Obtain repair orders (“ROs”) from the service department.
• Address any vehicle safety issues brought by the customer within the first five days after purchase with expediency.
• Send documents to customers through DocuSign.
• Depending upon the location, greet customers entering the dealership, determine the nature and purpose of their visit, and direct or escort them to the appropriate destination.
• Depending upon the location, direct customers to finance and service when needed.
• Depending upon the location, assist in managing the Next Up system for the sales department by assigning customers to sales representatives as their names come up on the list. Escalate any problems with the Next Up system to the Sales Manager.
• Assist the sales department as needed.
• Greet customers who have complaints or concerns; pull the deal and any other required information.
• Use the computer to pull deals and other information as needed.
• Depending upon the location, keep the showroom free from debris and kiosks clean.
• Depending upon the location, maintain the coffee supply by informing the Customer Service Manager of coffee supply inventory needed weekly.
• Complete other duties as assigned.

Qualifications:

• A valid Florida driver’s license with a satisfactory driving record in the sole discretion of Off Lease Only.
• High School Diploma or equivalent.
• Prior current retail customer service experience strongly preferred.
• Ability to read, speak, and write in the English language.
• Bi-lingual Spanish strongly preferred.
