MARQUETTE COUNTY
COURT RECORDER – PROBATE/FAMILY COURT
General Summary
Under the supervision of a Probate Court Judge or designee, serves as the Court Recorder for court hearings on the record in Probate and Family Court proceedings. Utilizes manual or electronic recording equipment to create official record of court proceedings. Produces official transcripts of court proceedings as necessary. Retrieves files and prepares them for hearing. Prior to and during hearings, marks and takes custody of evidence and keeps it secure. Monitors functioning of recording equipment, keeps log identifying participants in court proceedings. Provides clerical support to the court including scheduling hearings, typing, filing, and responding to inquiries from litigants and the public. Receives documents for filing, collects fines and fees, and assures appropriate storage and distribution of money, documents and files while in his/her custody. Must maintain temporary or permanent state certification. Assists the Probate Register as needed.
Essential Functions
1. Prepares courtrooms for proceedings, including checking operation of recording equipment, monitoring the placement of that equipment, ensuring sufficient supplies, and ensuring readiness of case files.
2. Utilizes electronic recording equipment to record proceedings. While recording proceedings, prepares a log of court activity, including parties present, dates and nature of proceeding. Monitors and records court proceedings, identifying speakers and their relationship to the action and determines whether all parties are present in order to proceed. Use shorthand or speedwriting notes as backup or to provide clarification. May request speakers to direct themselves to the microphone and/or clarify inaudible statements. Notes and receives introduction of exhibits and/or documentation.
3. Labels, indexes, and stores supportive documentation used in each proceeding as required by court rule. Reviews case files prior to proceedings to ensure proper noticing and that dates are set in compliance with court rules and statutes.
4. Prepares official verbatim transcripts of court proceedings upon request. Proofreads transcripts, certifies copies, and ensures documentation is in accordance with statewide standards. Maintains files of transcripts and exhibits as required by court rule.
5. Prepares support documentation prior to and following hearings, sets up hearings, and issues notices, appoints attorneys, files pertinent documents, and performs the ongoing filing of paperwork in case files. Utilizes State computer program for recordkeeping and preparation of forms.
6. Performs a variety of supportive tasks, keeping continuing calendar of appointments and transactions required for court scheduling and individual file processing. Accepts documentation and court related papers for filing and storage, receipting fees as required, and assists attorneys and the general public with inquiries regarding court procedures, forms, scheduling, specific case information and other matters.
IN THE PROBATE COURT:
7. Prepares support documentation prior to and following hearings such as orders, letters of authority, subpoenas and notices and may include composition of unique orders from situations which may arise out of court intervention. Assists and/or instructs parties involved with implementation of the court’s decisions and responds to procedural questions.
8. Opens and processes petitions for independent and supervised probate, guardianships for legally incapacitated person, minors and individuals with developmental disabilities, hospitalizations for mentally ill persons, adoptions, changes of name, small estates, and neglect and juvenile matters. Includes responding to inquiries, preparing necessary documents such as notices, subpoenas, and orders, scheduling appointments, verifying documentation, and appointing attorneys.
9. Prepares orders and other necessary documentation generated from juvenile hearing heard by the Judge or a court referee.
10. Notifies potential jurors for jury trials and prepares case records and courtroom for such proceedings.
11. Assists with file maintenance, will filings, and the ordering of supplies and legal forms.
12. Assists the Probate Register as needed.

Employment Qualifications
Education: High school graduation or equivalent. Prefer advanced education and/or legal secretarial coursework.
Experience: Two years of legal secretarial experience, preferably in a court, a law office or closely related setting. A 4 year degree in human services or a related field may substitute for years of experience.
Other Requirements: Certified as an Electronic Court Recorder by the Michigan Supreme Court within 12 months of hire.
